Position Summary: Performs a variety of activities in support of functional areas such as Human Resources and Manufacturing Operations or for a specific project/business/technical unit. Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisor's assignment. Gathers, collects, records, tracks and verifies data and information from multiple sources. Compiles, reviews and analyzes data. Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. Provides data and information to others on functional unit processes and procedures.
Essential Duties and Responsibilities include, but are not limited to:
- Assisting with communication with the workforce to ensure clarity and understanding through verbal and written translation.
- Copies data and compiles records and reports.
- Maintain office supplies.
- Provide administrative support to other functional areas, if needed.
- Assists with planning meetings and events, and booking travel, if needed.
- Assists with employee questions/concerns and involves the appropriate team members to resolve.
- Opens and routes incoming mail, answers correspondence, and prepares outgoing mail.
- Other duties as assigned.
Qualifications:
Experience and Education:
- 2-3 years of relevant office experience.
- High school degree or equivalent.
- Fluent in Vietnamese (written and verbal).
Technical Skills:
Knowledgeable in the use of Microsoft Office software and Windows operating system
Working knowledge of general office procedures, filing systems, data entry techniques and business equipment
Ability to thrive in a changing, fast-paced growing and dynamic business
Detail oriented and able to manage multiple projects simultaneously
Strong written and verbal communication skills
Excellent organization skills and attention to detail
