Administrative Assistant to Executive Director

Provides administrative support to the Executive Director of Prestonwood Pregnancy Center (“PPC”) to support PPC’s daily operations.

Responsibilities:

• Provide administrative assistance to the Executive Director by:
  • Managing calendar
  • Scheduling appointments and meetings
  • Answering telephone
  • Ordering office supplies
  • Composing and creating correspondence
  • Compiling informational letters, brochures, etc.
• Provide support as needed for meetings, events, and projects in which the Executive Director will be involved, including:
  • Preparing meeting agendas and reports
  • Ordering and picking up food
  • Setting up and taking down meetings 
  • Taking meeting minutes
• Respond to requests and inquiries from external sources and from other Prestonwood Baptist Church (“PBC”) entities on behalf of the Executive Director
• Run required reports and assist with reporting of analytics
• Submit purchase orders, check requests, contract requests and other required financial related items and ensure compliance with PBC policies
• Understand fully the PBC church programming software to enter events, details, and work orders
• Interface with onsite vendors, as needed
• Oversee travel arrangements for the Executive Director
• Reconcile the Executive Director’s credit card statement monthly
• Assist Executive Director’s direct reports as assigned
• Maintain employee files
• Ensure the Executive Director is informed about staff birthdays, anniversaries, absences, and other important staff related information
• Other duties as assigned

Requirements:

• Growing relationship with Jesus Christ as Lord and Savior as an active member of a Bible believing and preaching ministry
• Pro-life in word and pro-love in action
• Previous experience supporting a senior or executive staff member preferred
• Excellent attention to detail
• Ability to work effectively with other staff
• Strong communication skills, both written and oral
• Bilingual Spanish/English helpful
• Intermediate to Advance skills in Microsoft Office products
• Able to work a Monday – Friday schedule with flexibility for PPC and PBC scheduled events
• Able to work at a desk with a computer screen for extended periods of time,  perform occasional activities that require moving one’s whole body, such as balancing, walking, stooping, pushing, pulling, lifting up to 20 lbs. without assistance
