The Administrative Assistant/ Data Entry plays a fundamental role in assuring the center operates as efficiently and effectively as possible working along with the Program Director, to ensure the operation of the senior center meets all Department for the Aging Standards.

RATE OF PAY: $21.50

Work Schedule: 8:00 am to 4:00 pm Monday through Friday

Work Location: HANAC Ravenswood Older Adult Center 34-35 A 12th Street Astoria, NY 11106

Responsibilities:

  • Collect food Inventory from Cook, assist in cost estimates and check inventory, and order office supplies and Food.
  • Write checks on contribution and fund-raising accounts.
  • Periodically, review program practices against DFTA guidelines and make recommendations to the program director and agency controller.
  • Prepare payroll, and track all the volunteer hours and files.
  • Type correspondence, memos, and reports
  • Establish and maintain files
  • Prepare and maintain mailing lists
  • Assist in the development of the monthly newsletter
  • Work with Director in program planning and development
  • May represent the program in community and interagency activities
  • Attend DFTA and other offering training classes as needed.
  • Do the entry on PeerPlace “STARS”
  • Answer routine inquires
  • Register new clients, and gather all needed paperwork.
  • Assist with case assistance and information and referral
  • Check the defibrillator located in the office for working condition
  • Addressed and resolved client inquiries and complaints and engaged with customers to determine satisfaction levels with programs offered.
  • Performed facility checks to verify cleanliness and client safety
  • Keep storage room keep in an orderly fashion
  • Perform other related duties to keep our program running.
  • Maintain accurate client records, both written and electronic, and enter them into client database (s) in a timely manner.
  • Ensure maintenance of client confidentiality; appropriate consent and release forms are obtained
  • Oversees the kitchen, maintenance staff, and Volunteer workers
  • Other duties as determined by Program Director and required by funding sources
  • Update Senior Center bulletin board as needed.
  • Ensure that annual contractual goals, assessments, and required number of service units are attained and that units adhere to guidelines and standards of contracting agencies, funding sources, and professional standards
  • Work collaboratively with staff to develop, implement, and improve administrative functions related to the senior center projects and activities

Qualifications and Experience:

  • Minimum of Associate’s degree with three years experience in social services, human services, preferably with Older Adult Citizens Services. Administrative/ supervisory capabilities.
  • Experience in typing and computers.
  • Experience in Word processing, PowerPoint and Spreadsheet software, bilingual fluency in Spanish/English, reading, and writing.
  • Must be able to multitask and take initiative
  • Must be fully vaccinated and able to show proof of such vaccination by providing your original vaccine card or a copy of your vaccine card.
