Dodge & Cox is seeking a flexible, self-motivated Administrative Assistant to support our Compliance and Risk Management Departments. The successful candidate will be primarily responsible for performing general office duties, including, but not limited to: scheduling and calendar management, coordinating internal and external meetings, coordinating document review and tracking, record keeping, and arranging travel. This person must be highly professional, discreet, maintain a positive demeanor and strict adherence to confidentiality. As an Administrative Assistant to the Compliance and Risk Management Departments, this person will work closely with all members of the Compliance and Risk Management teams as well as Administrative Assistants and departments across the firm. The role requires strong attention to detail, excellent communication skills, and an ability to work in a collaborative team atmosphere.
Key Responsibilities- Organize and schedule meetings and training events (including the Annual Compliance meeting) in alignment with priorities and matters requiring immediate attention
- Maintain and monitor teams’ calendars
- Prepare, gather, distribute meeting materials and agendas
- Track/coordinate the review of policies and procedures (Compliance Manual) and other documents; including - but not limited to - client requests, RFP requests, and various other requests
- Prepare conference rooms and assist with set up of AV and videoconferencing, including running and moderating virtual meetings
- Organize lunches, order catering, and plan and arrange holiday and team events
- Prepare, edit, and proofread documents, including - but not limited to - correspondence, presentations, memoranda, minutes, and procedures.
- Perform routine administrative tasks such as preparing FedEx/USPS labels, running redlines, filing, copying, scanning, and faxing
- Arrange international and domestic travel, including location tracking, preparing conference registrations, and processing expense reports via Workday, and collaborating with other Administrative Assistants for multi-person trips, as needed
- Maintain and troubleshoot the Compliance and Risk Management Departments’ Teams Channels, SharePoint sites, and OneNote(s).
- Support team members in the adoption of new technology and software, including AI
- Serve as an internal liaison for Dodge & Cox employees for matters/questions related to Compliance and Risk Management.
- Update job knowledge and skills by participating in training and educational opportunities, as appropriate
- Four-year college degree preferred
- Minimum of five years of experience in a related position in the financial services industry
- A positive attitude, ability to adapt quickly to change, and a willingness to take on new projects
- Demonstrated ability to follow work processes, manage multiple priorities calmly under pressure, meet deadlines, and to take independent initiative within areas of responsibility

- The ability to quickly learn and use new database and software systems
- Experience working with and troubleshooting multiple devices and operating systems
The salary range for this position is $100k - $120k.
The listed pay scale denotes only the pay range of the base salary and does not include discretionary bonus compensation, which may make up an important portion of the total remuneration.
