We’re looking for an experienced Administration Assistant to join our Company Secretariat team in Sydney, reporting to the Company Secretary. This is a high-impact role supporting board-level activity and corporate governance processes across the organisation.
About the Role
In this role, you’ll provide advanced coordination, reporting and governance support, working closely with senior leaders to ensure seamless operations and compliance across Company Secretariat activities.
You’ll operate with autonomy and sound judgement, managing multiple priorities while contributing to process improvement and best practice delivery.
Key Responsibilities
- Board & Executive Support: Prepare board and committee papers, agendas, minutes, and high-quality correspondence for senior stakeholders
- Meeting & Event Coordination: Manage logistics for board and governance-related meetings, including venues, travel and end-to-end coordination
- Document & Report Preparation: Create and maintain complex documents, reports and presentations using Microsoft Office and internal systems
- Data & Insights: Collate, analyse and present data to support governance reporting and decision-making
- Budget Tracking: Monitor budgets, track variances and support financial reporting activities
- Operational Compliance: Identify and escalate any compliance risks, ensuring adherence to governance frameworks and policies
- Process Improvement: Provide guidance on administrative best practices and contribute to continuous improvement initiatives
Procurement & Administration Support: Assist with procurement processes and broader team coordination activities
What You Will Bring
- Proven experience in an advanced administrative or executive support role, ideally within a corporate, legal or governance environment
- Strong capability in document preparation, reporting and data analysis
- Confidence working with senior stakeholders and board-level material
- Excellent organisational skills with the ability to manage complexity and competing priorities
- High level of attention to detail and accountability
- Advanced proficiency in Microsoft Office and digital tools
- A proactive mindset with a focus on continuous improvement and process optimisation
