Job Description

As the Administrative Assistant, you are responsible for supporting one or more Marketing Executives by managing moderately complex administrative, organizational, and operational tasks, while exercising autonomy within established procedures.  You will be responsible for ensuring seamless communication, handling sensitive information with discretion, assists in preparing complex documents and presentations and in coordinating executive calendars, travel arrangements, and high-priority meetings, while also organizing high profile events. As expected, you will process expense reports, provide budget management assistance along with financial insights, communicates important updates to and from the Executive(s) within and outside the department and organization as needed.

Your role:

  • Provide administrative and operational support to one or more executives while following corporate policies. Manage correspondence, confidential information, records, calendars, complex scheduling, high-priority meetings, and key deadlines.

  • Prepare executive communications, agendas, minutes, action items, documents, and high-impact presentations aligned with strategic priorities. Communicate important updates through appropriate channels and support crisis communications to keep stakeholders informed.

  • Coordinate executive travel, itineraries, events, workshops, and conferences, including materials, technical setup, logistics, and senior stakeholder coordination. Process expenses, support budget oversight, and provide spending insights; where applicable, support the Works Council in line with relevant laws and company policies.

  • You’ve acquired 2+ years of experience in Administrative Support, Clerical Support or equivalent.

  • Your skills include providing strong administrative support, managing stakeholder relationships, and creating clear, effective documents and presentations using Microsoft Office. You’re experienced in planning events, coordinating logistics, and handling budgets and reservations with attention to detail. You also bring strengths in reporting, communication, process improvement, and document auditing to support efficient executive operations.

  • You have a High School Diploma, Vocational Education or Bachelor’s Degree

  • You must be able to successfully perform the following minimum Physical, Cognitive and Environmental job requirements with or without accommodation for this position

  • You have the ability to prioritize multiple projects and job responsibilities with competing deadlines (organizational/time management skills). Excellent computer-related skills (Microsoft Office, etc…) with willingness to learn new tools.

We believe that we are better together than apart. For our office-based teams, this means working in-person at least 3 days per week. Onsite roles require full-time presence in the company’s facilities. Field roles are most effectively done outside of the company’s main facilities, generally at the customers’ or suppliers’ locations.

Philips Transparency Details

The pay range for this position in Cleveland, OH is $37.00 to $58.00 per hour.

The actual base pay offered may vary within the posted ranges depending on multiple factors including job-related knowledge/skills, experience, business needs, geographical location, and internal equity.    

In addition, other compensation, such as an annual incentive bonus, sales commission or long-term incentives, may be offered.  Employees are eligible to participate in our comprehensive Philips Total Rewards benefits program, which includes a generous PTO, 401k (up to 7% match), HSA (with company contribution), stock purchase plan, education reimbursement and much more.  Details about our benefits can be found here

At Philips, it is not typical for an individual to be hired at or near the top end of the range for their role and compensation decisions are dependent upon the facts and circumstances of each case. 

Additional Information

US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa, now or in the future.

Company relocation benefits will not be provided for this position.  For this position, you must reside in or within commuting distance to Cleveland, OH.
