In an environment of continuous quality improvement, the Administrative Assistant is responsible for performing all levels of departmental administrative support including but not limited to copying, phone/reception, mail handling, filing, scheduling meetings, coordinating activities and general typing. Exhibits the MHS Standards of Excellence and exercises strict confidentiality at all times.


Job Functions:

  1. Exhibits good guest relations with patients, referring physicians, visitors, and hospital employees.
  2. Answers, screens, and transfers inbound phone calls.
  3. Receives and directs visitors, patients, and staff.
  4. Performs general clerical duties including photocopying, fax, and mailing.
  5. Maintains electronic and hard copy filing systems.
  6. Handles requests for information and data.
  7. Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
  8. Schedules and coordinates meetings and appointments.
  9. Prepares agendas for meetings and record, compile, transcribe and distribute minutes of meetings.
  10. Opens, sorts, and distributes incoming correspondence.
  11. Assumes all other duties and responsibilities as necessary.

Care Management:

  1. Maintains a tracking system for all third party payers.
  2. Supports the department director with various duties.
  3. Supports the compliance analyst with various duties.

Clinical Quality:

  1. Supports the department director in various duties.
  2. Supports the clinical data coordinator in various duties.
  3. Maintains a tracking system for the health system FPPE and OPPE.
  4. Navigates the Electronic Health Records and Care management programs.
Qualifications

Minimum Education/Experience Required:

  • High School Diploma, GED or equivalent experience required
  • Courses in office procedures or equivalent required

Special Knowledge, Skills, Training:

  • Interpersonal, typing skills and medical terminology
  • Knowledge in the use of spreadsheet and presentation programs
  • Knowledge in the use of database programs
  • Ability to read, write and do math as generally demonstrated by a high school diploma or GED

Compensation Details:  Education, experience, and tenure may be considered along with internal equity when job offers are extended.
