Overview of the opportunity

We are looking for a motivated and highly organised Administrative Assistant to join our Amsterdam office, reporting to the London Office Manager. In this role, you will support a group of bankers ranging from Analyst to Executive Director level, helping them operate at their best while working on high-profile, international transactions. You will also provide cover for the Amsterdam Office Manager and support colleagues in London, Frankfurt and Paris when required. This is a unique opportunity to build close working relationships with senior professionals, gain exposure to the fast-paced world of investment banking, and contribute to the success of a global firm.


Responsibilities:


The Assistant will be responsible for, but not limited to, the following:


• To support client activities and requirements in a proactive manner, liaising with clients e.g. take messages, pass on information, deal with queries, meet and greet and client events.

• To pro-actively manage diaries, co-ordinate and schedule meetings, reserve conference rooms, and set up conference calls.

• Manage your Bankers’ client contacts and Salesforce entries (MConnect).

• To make travel arrangements; book flights, ground transportation, lodging and entertainment for business travel (domestic and international), prepare itineraries, visas etc.

• To answer and direct incoming phone calls to Bankers, provide secondary telephone coverage within the immediate area, and record and track messages and follow up.

• reconcile with AMEX statements.

• Printing and binding books for internal or client use; photocopy and scan documents, and co-ordinate work with the Presentations team.

• Sending and following up on couriers.

• To support the Frankfurt and Paris OM/EAs during holidays and other absences.

• Cover for the Amsterdam Office Manager in all office management duties when away.

• Any other duties or special projects as requested by the Amsterdam OM, London OM, and/or Bankers.


Qualifications and Experience


• Bilingual in Dutch and English, written and spoken.

• Excellent communication skills, both written and verbal.

• Experience supporting and managing people at senior level.

• Proficiency in Outlook, Word, Excel, and PowerPoint.

• High level organisational skills and the ability to multi-task.

• Previous experience in a fast-paced professional environment; finance/banking preferred.

• Trustworthy, with a strong sense of confidentiality, discretion, and professionalism at all times.

• Welcoming and customer-service orientated, with a friendly, can-do attitude.

• Flexible, independent, proactive, and able to take the initiative.

• A collaborative team player who enjoys supporting others.

• Strong attention to detail, dedication, and efficiency.

We value in-person collaboration and the close partnership between Assistants and Bankers, so this role is based in our Amsterdam office. This is a full-time position, Monday to Friday, 9:00am to 6:00pm, with the option of working from home 3 Fridays a month only.
