JOB SUMMARY
The Administrative Assistant supports the daily operations of the Area Health Education Center (AHEC) by performing routine administrative and secretarial duties. AHEC is a grant-funded program hosted by Midland College that promotes and supports health careers throughout its 27-county service area, with a special focus on rural communities. Through collaboration and education, AHEC works to address regional health workforce shortages and reduce health disparities.

 ESSENTIAL FUNCTIONS 
  Perform routine secretarial duties and assist with daily operations for the AHEC office 
·         Oversee and maintains an up-to-date filing system to continuously report on AHEC’s budget through proficient bookkeeping skills and methods 
·         Manage ordering of supplies and equipment, including purchase orders, invoicing, and record-keeping, as well as the maintenance of office equipment, inventory, and supplies 
·         Make travel arrangements by requesting per diems and processing reimbursements for AHEC staff
·         Assist with the distribution of informational material related to all health education programming  
·         Maintains confidentiality of sensitive information
·         Assist the Center Director with the quarterly AHEC Advisory Board meetings by preparing an agenda and maintain meeting minutes 
·         Attend required professional/staff development offerings and meetings pertinent to the position 
·         Occasional work assignments after regular business hours 
·         Other duties as assigned 

Qualifications

REQUIRED QUALIFICATIONS

  • High School diploma or equivalent and two years of clerical and general office experience; or Associate Degree or equivalent (60 college credit hours)
  • Knowledge of general office equipment including copier, fax machine, printer, scanner, and multi-line Phone 
  • Computer literacy to include Microsoft Office Suite with proficiency in Word, Excel, and Outlook, OneDrive, and SharePoint
  • Demonstrates effective and clear verbal and written communication skills 
  • Strong organizational skills and the ability to prioritize workload 
  • Must possess a valid Texas Driver’s License, good driving record, and be insurable on Midland College’s insurance policy 

Preferred Qualifications

  • Associate’s degree or higher
  • Prior administrative work experience in a school, college, or university
  • Experience with finance and budgeting

WORK ENVIRONMENT 

  • Typical office 
  • Business Hours 
  • M-Th 8:00 a.m.- 5:00 p.m. F 8:00 a.m. – 12:00 p.m. Summer M-Th 7:30 a.m. – 5:30 pm 
  • Periodic evening and weekend hours during peak periods (e.g., open enrollment, payroll)  
  • Occasional travel (less than 10%) 

Physical Demands  

  • Must be able to remain in a stationary position 5O% of the time 
  • Must be able to sit or stand for long periods of time 
  • This position may require travel to various on- and off-campus locations, including driving as needed, as well as occasional out-of-town travel for training, meetings, and events.
  • Repetitive use of a keyboard at a workstation 
  • Use of manual dexterity 
  • The person in this position frequently communicates with others; must be able to exchange accurate information  
  • Frequently moves equipment or paperwork weighing up to 50 pounds
  • Duties indoors and some outdoors 
  • Ability to work extended hours and attend Midland College or community events

Salary Range  $39,820 - $40,417
