What you’ll do:
- Greet staff, guests, and vendors in a professional and friendly manner
- Create emails, memos, letters, presentations, worksheets, and reports for CEO and departmental correspondence
- Support board meetings, including preparing monthly board reports, constructing reports through Directors Desk, and recording meeting minutes
- Plan and coordinate departmental events and meetings
- Monitor expenses and budgets for internal and external meetings
- Provide administrative support including filing, copying, typing correspondence, presentations, spreadsheets, and related documentation.
- Coordinate with Rosemont corporate executive administration team on projects, tasks, and assignments
- Support CRA donations, accounts payable documentation, etc.
- Record and maintain departmental service hours and related administrative records
- Generate and submit IT tickets for respective departments based on manager and employee needs
- Other duties and special projects as assigned.
Qualifications:
- High school degree or equivalent
- 3+ years of secretarial, administrative assistant, office services experience supporting various management levels
- Proficiency with MS Office Suite, primarily Word, Excel, and Outlook
- Must be a self-starter, motivated, with excellent time-management skills to prioritize tasks and deliverables
- Must have excellent interpersonal, organizational, communication (both written and oral), and telephone etiquette skills
- Customer focus in dealing with all levels of employees and visitors
- Ability to maintain confidential and sensitive information

Compensation:
The estimated hourly rate for this role is $20.00 - $35.00, along with eligibility to earn an annual bonus. Actual pay rate may vary based on several factors, such as a candidate’s qualifications, skills, and experience.
