Responsibilities:
- Bookings: Project and CSP
- Projects:
- Preliminary review of booking package to ensure it meets minimum booking requirements (PO vs signed agreement, minimum GM met, vendor quotes are valid, valid invoicing agreement, etc)
- Set up review call
- Make booking package modifications, process through iQuote and book in iFinance. Make sure project name matches 460 naming conventions.
- Create booking folder in Sharepoint, make sure package has all documents that are labeled clearly. (iTrac? Wrike?)
- Send welcome letter.
- CSPs:
- Review for complete and accurate information.
- Process in iQuote/iFinance. Generate the sharepoint folder.
- Update service invoicing rates sheet.
- Projects:
- Project Closeout
- Complete the iFinance closeout process.
- Verify all relevant documents are added to project folder (final BOM, programming matrix, warranty letter/acceptance letter, commissioning report).
- Document management + Office Admin
- Subcontractor onboarding and management
- AP assistance
- Social Responsibility Day + other special event coordination (BCA, I&D, Safety Jamboree, Winter Holiday party, etc)
- Submittals?
- Request and manage COIs.
- Notary

- Under minimal supervision, provides a wide range of general administrative support to colleagues in the office and/or field.
- Responsible for scheduling meetings, making travel arrangements, arranging events and other projects as assigned.
- Responsibilities may also include assisting with accounting/bookkeeping duties.
- May provide direction and coaching to less experienced Administrative Assistants or other office staff colleagues.

Requirements:
Education: College degree, trade school or equivalent experience
Minimum Experience: 3-5 years office management or equivalent
Preferred Experience: (but not required):
- Accounting, bookkeeping, and/or financial
Pay Range: $25-30/HR USD
