WHAT YOU CAN EXPECT

Acts as liaison between the president, senior management, corporate and regional staff, government agencies, and hospital coworkers.

Researches, prioritizes, and follows-up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

Composes and modifies documents including correspondence, letters, reports, agendas, drafts, memos, and emails. Provides general administrative and clerical support including mailing, scanning, faxing, and copying.

Records and distributes meeting minutes.

Coordinates office and phone coverage by answering main phone line, receiving all guests, and provides answers for all foundation inquiries.

Oversees and maintains office space. Orders office supplies and equipment.

Maintains calendars and schedules. Schedules and coordinates meetings, catering, appointments, and travel arrangements for the office staff. Responsible for communicating details to staff, confirming participant and room availability, coordinating services among staff, publishing agendas, and communicating scheduling modifications. Assures board members are notified of meetings and meeting materials are provided in a timely manner.

Able to quickly learn and comprehend complex databases with highly detailed policies and procedures, including the ability to accurately perform mail merges and upload documents into a database.

Works closely with the corporate foundation office for employee donation gift processing, data entry, month-end close, and other tasks.

Supports coordination of fundraising or foundation events and participates as needed.

Responsible for assigned portions and use of the donor database. Tracks and deposits incoming donations sent to the divisional office. Maintains donor data integrity by updating information per standard operating procedures and updating employee donors’ records.

Supports office operations by setting up new hires with appropriate system access and orientation schedule. Completes corresponding paperwork for new hires or terminations.

Processes and codes departmental invoices and corporate purchasing card business expenses through an electronic accounts payable system or online purchasing card administration application.
QUALIFICATIONS
