At Franciscan, our Administrative Assistants provide administrative support to ensure efficient operation of the office/department. This role is critical as it deals with a diverse group of external stakeholders, as well as internal contacts at all levels of the organization, and must maintain strict confidentiality of sensitive information.

WHAT YOU CAN EXPECT
Performs office functions including answering telephone and email requests, taking meeting minutes, keyboarding, filing, faxing, scanning, photocopying, conducting research and producing written communications.
Researches, prioritizes and follows up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Maintains sensitive and confidential records, such as board and committee meeting minutes, financial reports, contracts and agreements, and other official records; ensures records are maintained in accordance with regulations and organizational procedures.
Assists with financial transactions which may include budget preparation assistance, invoice coding and approval, and expense management.
Coordinates meetings and special events including but not limited to the coordination of required materials, securing locations, managing list of attendees, ordering food and coordinating speakers and vendors.
Develops and coordinates outgoing reports, correspondence, and other materials to proper destinations/recipients.
Monitors inventory needs for required department equipment and supplies; places orders as required to maintain appropriate inventory levels.
