Wells Fargo is seeking an Associate Executive Specialist -Executive Administrator to provide high-quality administrative and operational support to the Head of Enterprise Functions Technology (EFT), India & Philippines, and the broader EFT India leadership team. This role is critical to enabling leader effectiveness through strong calendar, travel, expense, and meeting management, while also supporting business operations and select leadership initiatives.
The role is based in Bengaluru and requires strong judgment, discretion, attention to detail, and the ability to operate confidently in a fast-paced, highly regulated environment.
In this role, you will:
- Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
- Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
- Support projects
- Assist with budget planning and compile statistical data for financial planning
- Act as information source on group and company policies
- Receive direction from supervisor and exercise judgement within defined parameters while developing understanding of the Administrative Support function
- Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
- Interact with external customers.
- 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
- 6+ Months of experience supporting senior leaders (Director level or above) in an Executive Assistant or Executive Administrative role
- Strong expertise in calendar, travel, and expense management in a matrixed, global organization
- Excellent organizational, planning, and prioritization skills with strong attention to detail
- High degree of professionalism, discretion, and ability to handle confidential and sensitive information
- Strong written and verbal communication skills; ability to produce executive-quality documents and correspondence
- Proficiency with Microsoft Office tools (Outlook, Teams, Word, Excel, PowerPoint) and enterprise expense and travel systems
- Ability to work independently, anticipate needs, and adapt quickly in a fast-changing environment
- Experience working in a regulated or compliance-driven enterprise environment (preferred).
- Provide a high level of professional, executive-level administrative support, balancing core administrative responsibilities with ad-hoc business and leadership initiatives
- Manage heavy and complex calendaring, including coordination across time zones, prioritization of meetings, and proactive conflict resolution
- Plan and coordinate complex domestic and international travel, including itineraries, visa documentation support, and contingency planning
- Prepare, submit, and track expense reports in accordance with company policies and compliance requirements
- Support leadership meetings, town halls, and business reviews by coordinating logistics, preparing materials, tracking action items, and following up on deliverables
- Create, edit, and manage executive-ready documents, presentations, emails, and briefing materials with high attention to quality and confidentiality
- Act as a point of contact and information source on group, HR, finance, travel, and company administrative policies, escalating issues as appropriate
- Support small projects and ongoing business initiatives such as tracking deliverables, maintaining key logs, and pulling routine reports
- Collaborate and consult with peers, colleagues, and managers to resolve administrative or operational issues and achieve shared goals
- Interact professionally with senior leaders, partners, vendors, and other internal and external stakeholders, exercising discretion and sound judgment
- Receive direction from leadership and exercise independent judgment within defined parameters while continuing to build understanding of Wells Fargo's administrative support function, policies, and controls
