Job Description

  • Provide end-to-end project administration support, partnering with Project Managers and project teams across project setup, reporting, documentation, invoicing and financial tracking to support successful project delivery.
  • Coordinate office operations and facilities, including reception, office supplies, kitchen and facilities management, vehicle and equipment bookings, accommodation, and building compliance requirements.
  • Support project financial administration, including invoice preparation, revenue tracking, subcontractor coordination, timesheet reconciliation and monitoring project financial performance.
  • Coordinate meetings, events and stakeholder activities, including meeting room bookings, catering, industry events, team functions, agendas, minutes and visitor management.
  • Deliver high-quality administrative and business support, including document preparation and formatting, tender submissions, marketing initiatives, compliance activities, IT coordination, and maintaining accurate organisational systems and records.

Qualifications

  • Highly organised and detail-oriented, with the ability to manage competing priorities, meet deadlines and maintain accuracy in a fast-paced environment.
  • Proactive and solutions-focused, with the initiative to anticipate team needs, solve problems and follow through on tasks with minimal supervision.
  • A confident and engaging communicator, with the ability to build positive relationships and work effectively with clients, project teams, suppliers and stakeholders at all levels.
  • A collaborative team player, who enjoys supporting others, working across multidisciplinary teams and contributing to a positive and inclusive workplace culture.
  • Adaptable and professional, with a strong commitment to quality, confidentiality, continuous learning and delivering exceptional service to internal and external stakeholders.
