Based out of our Enniscorthy Office, Co Wexford, Howden Ireland are delighted to have a vacancy for an Administration Executive for Life & Pensions, within a self-contained business unit which has been formed following the acquisition of a local financial advisory firm by Howden Insurance (Ireland) Limited. The unit continues to function with a large degree of autonomy and this role will support the seamless integration into the wider Howden framework while maintaining the ongoing trading function and growth locally.

About the role

The role is part of a team of 2 Administrators and will report directly to the business unit Operations Manager.  It will provide full support to the Director in all administration matters for both new business and management of existing clients. The successful candidate will manage the end-to-end administration process associated with Group and Individual Pensions and Life Assurance products, as well as investments and non-life offerings ensuring a high standard of service delivery, compliance, and efficiency.  Under CBoI Fitness and Probity Standard, the role is classified as CF4.

Key Responsibilities 

  • Provide Administration and Sales Support to the business unit including preparation of documentation, management of existing client database, dealing directly with client queries, new business submission, quality control and checking and pipeline management.
  • Support the business unit advisors with financial reports and analyses on pension, investments and life assurance products.  Assist in the research and recommendations of life and pension products that align with clients' financial goals. Assist advisors in creating customised financial plans, including retirement and investment strategies.
  • Group Scheme management – oversight of DC, PRSA, (Group & Retail) and Risk only schemes, including renewals, invoicing, admin, leavers / joiners and supporting member engagement.
  • Daily liaison with Product Providers in relation to new business and existing client queries across investment, pension and protection product lines to ensure timely processing and response.
  • General administration duties including filing, opening post (physical and virtual), managing incoming phone calls, emails and other tasks as assigned by their manager.
  • Adhere to Compliance, GDPR, CBoI and Howden business procedures as outlined by the business including proper utilisation of tools, systems and templates provided to ensure optimal service is delivered in the most efficient manner, both physically and through digital platforms.
  • Oversee the full lifecycle of policy administration for life, pensions, and protection products, proactively support annual reviews, renewals, and client communications, ensuring deadlines are met.
  • Maintain and update CRM systems and internal platforms with high data accuracy.
  • Contribute to continuous improvement of administration workflows, document templates, and client communications.
  • Where required, represent the business unit within the wider Financial Advisory administration community on projects and cross functional activity.

About You

  • Extremely well organised with excellent time management skills.
  • Ability to work on own initiative and as part of growing team, meet deadlines and work under pressure in a busy environment.
  • A minimum of 5+ years previous experience working in an administrative role in the Life & Pensions industry.  Specialised pension knowledge and prior paraplanning type experience would be significantly advantageous.
  • Experience of Group Pension, PRSA and Risk scheme administration and management and a proven ability to manage key stakeholders in external group schemes (HR, Finance etc)
  • Familiarity with Life & Pension broking platforms, provider systems, portals and products.
  • Possesses a strong attention to detail and be good at multi-tasking.
  • Excellent Communications and Customer Service Skills.
  • Customer focused and driven, with a strong sense of curiosity and a relentless concentration on continuous improvement.
