The Role
Provide operational support for billing, timesheets, NetSuite project administration, compliance, SOW and Work Order lifecycle management, and finance/legal coordination. Track partner/subcontractor submissions, resolve issues with stakeholders, produce reports, and maintain accurate project and financial records to support Professional Services operations.

Responsibilities
    1. Operations Support
  • Billing & Timesheet Administration
  • Reconcile partner and subcontractor timesheets for accuracy and completeness.
  • Track all partner/subcontractor timesheet submissions, especially for projects without assigned Project Managers.
  • Ensure duplicate hours are not entered into NetSuite or internal systems.
  • Serve as a point of contact for partners regarding timesheet discrepancies or missing submissions.
  • NetSuite Project Administration
  • Maintain project work schedules, status updates, and work insights in NetSuite.
  • Support Engagement Directors with project-related administrative updates.
  • Ensure project records reflect accurate and timely information across all stages.
  • Assist with producing reports to monitor and manage practice operations and assist with exception analysis
  • Compliance Support
  • Support compliance processes across the Professional Services organization.
  • Ensure adherence to internal controls, approval flows, and documentation standards.
  • Provide guidance on operational processes and help teams follow required policies.
    2. Services Sales Support
  • Statement of Work (SOW) Administration
  • Work in coordination with NA Services Sales to ensure SOWs follow operational standards.
  • Liaise with Finance and Legal teams to resolve any questions related to SOWs, compliance, or Finance Requests.
  • Assist Engagement Directors by handling documentation and administrative inquiries.
    3. Partner Subcontracting Work Order Support
  • Work Order (WO) Administration
  • Manage the full lifecycle for partner and subcontractor Work Orders (WOs), including:
  • Drafting and processing Work Orders
  • Coordinating Legal review workflows
  • Issuing DocuSign envelopes for signature
  • Ensure all Work Orders meet company standards for accuracy, detail, and compliance.
  • Finance Processing for Partners
  • Create Finance Requests needed to issue Purchase Orders to partners once Work Orders are fully executed.
  • Track the progress of PO creation and partner onboarding tasks.
  • Issue Resolution & Coordination
  • Follow up with Finance, Legal, partners, and internal stakeholders to resolve outstanding questions or issues.
  • Maintain visibility into WO status across multiple partners and projects.

Requirements
  • Required
  • Working hours covering Asia Pacific time zones.
  • 2+ years of administrative, sales operations, project coordination, or professional services support experience.
  • Strong organizational skills with the ability to manage multiple workflows simultaneously.
  • Experience using business systems such as NetSuite, DocuSign, or similar.
  • High attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Preferred
  • Experience supporting software implementation or professional services organizations.
  • Familiarity with SOWs, Work Orders, purchase orders, or contract administration.
  • Understanding of financial approval workflows.

Work Arrangement
  • Work Setup: Flexible Work Arrangement
  • Work Hours: Monday to Friday, 6AM-8AM (PHT) Flexi Start Time: 9-Hour Workday, including 1-hour lunch
