Role purposeThe key purpose of the Administration Assistant is to provide high quality service and efficient administrative support to the centre management team. The Administration Assistant is pivotal to the success of the financial efficiencies of the centre and is integral in delivering exemplary customer service and professionalism to all stakeholders, ensuring the delivery of an exceptional customer experience. This role has a passion and desire to bring the Vicinity brand to life through every interaction with Vicinity’s customers and retailers. The Administration Assistant actively enhances administrative skills to develop the capabilities needed to step into the Administration Manager role during absences, as well as contribute to succession planning efforts. The Administration Assistant brings a background in financial administration, including experience with accounts receivable and/or payable, as well as a breadth of knowledge in reporting with experience using accounting systems to drive process efficiencies.Be the backbone of our centre management team and deliver exceptional experiences.

This role is more than administration—it’s about bringing the Vicinity brand to life through every interaction with our customers and retailers. You’ll manage key office and financial processes, contribute to exceptional guest experiences, and develop the skills to step into an Administration Manager role when needed.
What You’ll Do
Office Administration:
Manage reception and providing outstanding customer service
Coordinate stationery, catering, mail, and courier services.
Prepare tenant communications and maintain accurate records.
Support daily centre operations and compliance requirements.
Financial Administration:
Process supplier invoices, procurement, and accruals.
Assist with tenant billings, debt management, and monthly reporting.
Manage gift card processes and sales reconciliations.
Maintain public liability insurance and bank guarantee records.
Centre Operations:
Support guest experience initiatives and handle customer feedback.
Manage retailer carpark permit process.
Maintain compactor cards register and invoice tenants
What You Bring
Experience in administration or reception, ideally in a customer-focused environment.
Strong organisational skills with exceptional attention to detail.
Financial administration experience, including accounts receivable/payable and reporting.
Excellent communication and stakeholder management skills.
Ability to adapt to changing systems and processes while meeting deadlines.
A proactive mindset with a desire to learn and grow.
