Responsibilities:
- Coordinate and manage the executive schedule, including scheduling meetings, appointments, and events across time zones and departments.
- Collaborate with finance teams to ensure timely and accurate processing of invoices, payments, and financial documentation.
- Draft, edit, and format professional correspondence, reports, presentations, briefing books, and other documents on behalf of senior staff.
- Maintain a structured system for tracking, prioritizing, and following up on internal and external communications.
- Serve as the primary point of contact for incoming and outgoing correspondence, responding promptly and professionally to inquiries.
- Plan and execute travel arrangements, including flight and hotel bookings, visa coordination, and itinerary preparation for senior management.
- Ensure accurate, secure, and up-to-date records and file management for all corporate documents and records.
- Support event and meeting planning, including logistics, participant coordination, and post-event documentation.
- Review and analyze incoming memos, submissions, and reports, and distribute them appropriately across relevant teams.
- Perform additional administrative tasks as assigned, contributing to the overall efficiency of the Country Office.
Skills Required
- Executive calendar and scheduling coordination across time zones
- Experience collaborating with finance teams on invoices, payments, and financial documentation
- Strong written communication skills for drafting and editing correspondence, reports, and presentations
- Records and file management with attention to accuracy and security
