The Administrative Support/Front Desk position provides administrative, reception, and basic clinical support to ensure efficient daily operations within Sonoma County Indian Health Project, a Tribal healthcare setting. Working closely with the Medical Office Manager and Nursing Manager, this role supports patient scheduling, check-in, eligibility and insurance verification, referrals, care coordination, outreach activities, and electronic health record documentation in EPIC. The position may also perform Medical Assistant duties within the scope of training and certification, including preparing patients for visits, obtaining vital signs, supporting patient flow, assisting with clinical procedures, and documenting patient information. Additional responsibilities include supporting SDPI grant-funded programs, maintaining records, coordinating communications, and ensuring compliance with organizational policies, procedures, and safety standards. Duties may vary based on operational and program needs.

Key Responsibilities:
- Coordinate and manage administrative tasks related to health services programs.
- Facilitate communication between healthcare providers, patients, and administrative staff.
- Maintain accurate records and documentation for health services operations.
- Assist in the planning and execution of health programs and initiatives.
- Monitor and report on program outcomes and performance metrics.
- Support the development and implementation of policies and procedures.
- Provide administrative support to healthcare professionals as needed.
- Ensure compliance with healthcare regulations and standards.
- Collaborate with other departments to enhance service delivery and patient care.

Qualifications

QUALIFICATIONS

  • High school diploma or General Education Diploma (GED) required.
  • Minimum of one 1 to three 3 years of related administrative clerical or front desk experience and or training.
  • An equivalent combination of education and experience may be considered.
  • Ability to perform all essential duties satisfactorily with or without reasonable accommodation.
  • Acute attention to detail, including accuracy spelling, and completeness of assigned tasks.
  • Ability to coordinate and manage multiple tasks simultaneously and follow through to completion.
  • Demonstrates sound judgment and the ability to make timely appropriate decisions.
  • Versatility, flexibility and willingness to work with changing priorities in a fast paced environment.
  • Ability to accurately complete detailed forms  reports and documentation assigned.
  • Ability to read and understand simple instructions, short correspondence and memos.
  • Ability to effectively communicate information in one on one and small group settings with clients patients vendors and staff.
  • Current Cardiopulmonary Resuscitation CPR Certification.
  • Valid California Driver’s License with a driving record that meets insurability requirements.
  • Maintains a professional courteous and positive demeanor while on duty.
  • Communicates respectfully and refrains from harmful gossip or disruptive behavior.
  • Works cooperatively and effectively with coworkers and supervisors.
  • Demonstrates flexibility in accepting and carrying out assignments.
  • Complies with organizational and departmental dress code requirements, including fragrance free policies.
  • Demonstrates cultural sensitivity and professionalism in a diverse multicultural environment.
