Job Summary:

 

With over 2,000 worldwide customers, Five9 is a leader in Cloud-based Call Center Software. We are looking for a Admin Assistant who will assist the APAC Facilities and Safety Manager with the facilities services of the Philippine office. The Admin Assistant play an important role in organizing, managing, and keeping an office running. The Admin Assistant shall file, monitor all documents, coordinates with vendors, contractors, and landlord.


Key Responsibilities:

  • Assist Facilities Manager on delivering proficient account management to ensure services are consistently delivered within the stated scope of services, responsibilities, and service expectations
  • Review, file, monitor and safekeep facilities documents, forms, log sheets, checklist, and contracts
  • Assist APAC Facilities and Safety Manager with preparing the required quotes and documents for processing permits and licenses such as:
    • Annual PEZA permits
    • Annual Electrical, mechanical and electronics PM and certifications
    • Quarterly SMR preparation and submission to EMB
    • Disposal of hazardous waste disposals and consumables
    • Non-PEZA assets disposals
    • Booking shipment of IT equipment and peripherals to employees
    • Preparing gate pass and work permits
    • Inventory, monitoring and order of facilities supplies
  • Keep updated records of office expenses and costs
  • Secondary contact for all facility related issues such as maintenance and cleaning, floor plans, security and building access
  • Oversees facility/building security and responds to all site emergencies; ensures client and employee safety
  • Administrative assistant capacity in addition to maintenance coordination
