Nous recherchons un(e) Adjoint(e) de direction / Gestionnaire de bureau organisé(e), proactif(ve) et orienté(e) vers le service afin de soutenir la direction et d'assurer la gestion efficace des opérations administratives du bureau. La personne recherchée jouera un rôle clé dans la coordination des activités quotidiennes, la gestion des priorités administratives et le maintien d'un environnement de travail performant et professionnel.

Responsabilités

Soutien à la direction

  • Gérer l'agenda, les réunions et les déplacements de la direction;

  • Préparer les présentations, rapports, comptes rendus et différents documents administratifs;

  • Assurer le suivi des dossiers stratégiques et coordonner les actions auprès des parties prenantes;

  • Filtrer et prioriser les communications internes et externes;

  • Organiser et coordonner les rencontres, événements et réunions d'équipe.

Gestion de bureau

  • Veiller au bon fonctionnement quotidien du bureau;

  • Coordonner les fournisseurs, contrats de services et achats de fournitures;

  • Assurer le suivi des budgets administratifs et des dépenses de bureau;

  • Participer à l'amélioration des processus administratifs et opérationnels;

  • Accueillir les visiteurs et contribuer à une expérience professionnelle de qualité;

  • Assurer le suivi de la documentation, des politiques et des procédures internes;

  • Collaborer avec les équipes RH, finances et opérations sur différents projets;

  • Participer à l'organisation des activités d'entreprise et initiatives de mobilisation.

Qualifications

  • Diplôme en administration, bureautique, gestion ou domaine connexe;

  • Minimum de 3 à 5 ans d'expérience dans un poste similaire;

  • Expérience auprès de cadres dirigeants ou dans un environnement professionnel dynamique;

  • Excellentes compétences en organisation et en gestion des priorités;

  • Grande autonomie, discrétion et professionnalisme;

  • Capacité à gérer plusieurs dossiers simultanément avec un haut niveau de rigueur;

  • Excellentes habiletés de communication orale et écrite en français;

  • Bonne maîtrise de l'anglais, l'anglais est requis le poste dmeandant de communiquer avec des clients et des partenaires situés à l'extérieur du Québec;

  • Maîtrise de la suite Microsoft 365 (Outlook, Teams, Word, Excel et PowerPoint);

  • Sens du service et approche collaborative;

  • Esprit d'initiative et capacité à anticiper les besoins;

  • Souci du détail et excellente gestion du temps;

  • Attitude positive et orientée solutions;

  • Présence au bureau : une présence au bureau est requise 3 jours par semaine.

Skills Required

  • Diploma in administration, office administration, management, or a related field
  • Three to five years of experience in a similar position
  • Experience supporting senior executives or working in a dynamic professional environment
  • Excellent organizational and prioritization skills
  • Autonomy, discretion, and professionalism
  • Ability to manage multiple files simultaneously with a high level of rigor
  • Excellent oral and written French communication skills
  • Good command of English; ability to communicate with clients and partners outside Quebec
  • Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and PowerPoint
  • Service-oriented and collaborative approach
  • Initiative and ability to anticipate needs
  • Attention to detail and excellent time-management skills
  • Positive, solution-oriented attitude
  • Availability to work in the office three days per week
