At Oceans, we believe that talent knows no boundaries. That’s why we connect the best and brightest professionals with career-defining opportunities that challenge, inspire, and accelerate their career growth. As an Accounts Receivable & Financial Operations Specialist, you will join a growing pest management services company serving commercial and residential accounts across diverse sectors, including school districts, commercial properties, and multifamily real estate. In this role, you will take ownership of day-to-day accounts receivable execution, commercial billing workflows, collections support, and financial reporting.

You will manage the end-to-end receivables lifecycle—from customer invoicing and third-party vendor portal submissions to payment tracking, routine account reconciliations, and AR analytics. Working in a detail-oriented, hands-on capacity, you will ensure high financial data accuracy, maintain smooth customer billing communications, and streamline operational workflows across internal systems and customer portals.

Accountability

As an Accounts Receivable & Financial Operations Specialist, your success will be defined by your ability to maintain highly accurate customer account records, ensure timely invoicing across specialized commercial portals, track incoming payments, and deliver accurate AR reporting.

Here’s how you’ll make an impact:

Accounts Receivable & Payment Management
  • Execute daily AR workflows, monitoring incoming customer payments and processing credit card transactions in accordance with established procedures.
  • Maintain accurate customer account balances, tracking outstanding invoices and identifying overdue accounts promptly.
  • Review incoming billing inquiries, responding professionally to routine payment questions and resolving account discrepancies.
  • Maintain precise records of payment activity and customer communications in the CRM, escalating unresolved payment issues when senior finance involvement is required.
Commercial Billing & Portal Invoicing
  • Prepare and submit invoices for commercial accounts with specialized billing procedures, including school districts and multifamily properties.
  • Download, organize, and convert billing documentation into required formats (such as PDF) for submission to specialized third-party vendor portals (e.g., VendorCafe, VendorShield, Tech Agile).
  • Track invoice submission deadlines to prevent billing delays and resolve routine portal administrative roadblocks.
  • Ensure all supporting documentation is complete, accurate, and aligned with agreed customer billing schedules.
Collections Support & AR Reporting
  • Generate recurring weekly accounts receivable and collections reports to assist the on-site collections team with prioritization.
  • Maintain full visibility into outstanding balances, customer payment statuses, and recurring payment delays.
  • Organize relevant account notes and updates to support collections communications and mitigate AR risk.
Account Reconciliation & Data Quality
  • Assist with routine account reconciliation activities by verifying that financial transactions align with supporting records.
  • Review ledger balances for inconsistencies, identifying missing or misclassified entries to support financial data cleanup.
  • Ensure all supporting financial documentation is organized, complete, and audit-ready.
Finance Systems, Technology & Process Improvement
  • Maintain accurate customer profile and billing data within PestPac CRM.
  • Utilize Microsoft Excel and Google Workspace for financial data organization, tracking, and reporting workflows.
  • Support the team's exploration and adoption of AI-enabled reporting, analytics capabilities, and process improvements to reduce repetitive administrative work.
  • Identify recurring workflow bottlenecks and proactively recommend practical process enhancements.

Colleagues

You will work closely with the internal Finance team and on-site AR and collections personnel to coordinate customer account updates, align on billing requirements, and ensure operational continuity.

At Oceans, you’ll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you’re continuously growing and developing in your career.

Skills and Qualifications

At Oceans, we believe in T-shaped individuals—those who bring deep expertise in one area, paired with broad curiosity and interests. As an Accounts Receivable & Financial Operations Specialist, your vertical strength will be accounts receivable execution, commercial billing workflows, and payment tracking, while your horizontal capabilities should span account reconciliation support, financial reporting, portal navigation, and process optimization.

To excel in this role, you should have:

  • Experience: Hands-on experience in accounts receivable, commercial invoicing, collections support, or financial operations, including experience with specialized billing procedures and vendor portals.
  • Tools/Systems: Proficiency in Microsoft Excel (data organization, spreadsheets) and Google Workspace, with hands-on experience navigating billing/CRM software (e.g., PestPac) and vendor portals (e.g., VendorCafe, VendorShield, Tech Agile). Exposure to credit card processing and AI-assisted workflows is preferred.
  • Analytics/Process: Strong understanding of AR workflows, payment tracking, balance reporting, account reconciliation support, and variance/discrepancy identification.
  • Mindset: Highly organized, detail-oriented, and accountable, with excellent written English skills for professional customer communications and a proactive approach to learning new platforms.

During the interview process, you’ll have the opportunity to showcase your skills in the following areas:

  • Accounts Receivable Execution: How do you manage incoming customer payments, maintain accurate account balances, and track outstanding invoices?
  • Commercial Portal Billing: How do you organize and submit specialized invoices across third-party vendor portals while meeting tight deadlines?
  • Collections Support & AR Reporting: How do you compile data-driven AR reports to support collections prioritization and identify recurring payment risks?
  • Data Accuracy & Reconciliation Support: How do you review financial records, spot discrepancies, and ensure data integrity across multiple systems?
  • Systems Adaptability & Workflow Optimization: How do you learn unfamiliar billing software or adopt tech tools (such as AI capabilities) to streamline repetitive financial tasks?

Diversity of experience is core to Oceans. You are expected to work inclusively with individuals from a variety of backgrounds, ensuring that both personal and collective dignity are supported.
