Key Responsibilities:

Invoice Management:

  • Prepare, verify, and process invoices paying attention to specific client requirements such as PO's and other client requirements
  • Ensure all invoices are accurately coded and sent to clients in a timely manner.

Collections:

  • Monitor accounts to identify outstanding debts and contact clients to secure payment.
  • Implement collection strategies and follow up on overdue accounts.
  • Negotiate payment plans with clients when necessary.

Reconciliation:

  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Resolve any discrepancies in a timely manner.

Reporting:

  • Generate and analyze accounts receivable reports, including aging reports and collection forecasts.
  • Prepare monthly, quarterly, and annual statements related to accounts receivable.
  • Assist the accountant during financial audit.

Customer Relations:

  • Address and resolve any issues or inquiries from clients regarding their accounts.
  • Maintain positive and professional relationships with clients to promote good customer service.

Process Improvement:

  • Identify areas for process improvement within the accounts receivable function and implement solutions.
  • Assist in the development and implementation of new policies and procedures.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 2-3 years of experience in accounts receivable or a similar role.
  • Experience with accounting software and ERP systems (e.g., QuickBooks, D365).

Skills:

  • Strong understanding of basic accounting principles and accounts receivable processes.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and high level of accuracy.
  • Ability to handle confidential information with discretion.
  • Strong time management skills and ability to prioritize tasks effectively.

Working Conditions:

  • This position typically operates in a hybrid manner.
  • Occasional overtime may be required to meet deadlines.
