Job purpose

Reporting directly to the Controller or his/her designee, the Accounts Receivable Accountant is responsible for managing the full cycle of accounts receivable activity across AFT's corporate, foundation, and simplified grant funding streams. This position plays a key role in collections across all accounts receivable streams, with some focus on corporate invoicing and non-federal grants. The role requires a working knowledge of grant award types to effectively support both grant-funded and general organizational revenue.
 
Duties and responsibilities

  • Serve as the primary lead for preparing and submitting invoices to corporate funders, foundations, and simplified grant award recipients in accordance with agreement terms and billing schedules; create and post invoices in Intacct ensuring all billings are supported by accurate documentation.
  • Maintain and update funder files, including contact information, billing instructions, and award-specific invoicing requirements; apply a working understanding of grant award types (federal, state, corporate, and foundation) to ensure invoicing aligns with funder expectations and award terms.
  • Monitor accounts receivable aging on a daily basis; proactively identify and follow up on outstanding and delinquent accounts through professional written correspondence and direct funder outreach.
  • Apply cash receipts to the appropriate grant or account in Intacct, ensuring accurate and timely posting of all funder payments and transactions; monitor incoming receipts and flag funding discrepancies to the controller.
  • Reconcile accounts receivable aging on a monthly basis, resolving discrepancies and ensuring alignment with the general ledger; reconcile cash on a monthly basis with the general ledger and bank statements.
  • Coordinate with the Grants Accounting team to ensure billing timelines, award balances, and funder payment statuses are aligned; support grant closeout activities by ensuring all receivables are collected and properly recorded prior to award close.
  • Prepare and post journal entries related to accounts receivable; assist with month-end, quarter-end, and year-end closing processes as directed by the Controller (or designee).
  • Assist with the annual audit by providing documentation related to accounts receivable, grant receivables, and funder payment histories; ensure receivable processes comply with AFT policies and procedures and applicable funder requirements.
  • Prepare periodic AR status reports for internal management summarizing outstanding receivables, collection activity, and days outstanding.

Qualifications

Required

  • Knowledge of Generally Accepted Accounting Principles (GAAP) and their application to accounts receivable and revenue recognition.
  • Experience with accounts receivable functions, including invoicing, collections, cash application, and reconciliation, with a working familiarity with grant award types (federal, state, corporate, and foundation) and basic grant billing concepts.
  • Experience with accounting software systems; Intacct experience is strongly preferred. 
  • Advanced proficiency in Microsoft Excel, including VLOOKUP and Pivot Table functions.
  • Excellent communication and customer service skills; ability to interact professionally with funders and internal stakeholders.
  • Strong verbal, written, analytical, and organizational skills with a high degree of attention to detail; high level of ethics, integrity, transparency, and trustworthiness.
  • Ability to prioritize and manage multiple tasks effectively with minimal supervision; results-focused with strong attention to detail.
  • Strong interpersonal skills and ability to collaborate effectively with individuals, teams, and funders.

 
Preferred

  • Experience working in a nonprofit organization with a mixed portfolio of corporate, foundation, and government-funded programs.
  • Familiarity with federal grant reporting systems and requirements.
  • Demonstrated commitment to the mission of AFT.

 
Education & Experience

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Minimum of 3 years of relevant accounts receivable or accounting experience, preferably in a nonprofit or mission-driven organization.

 
Working conditions/Travel

  • This is a remote position. Occasional work in the evenings or on weekends may be required to meet deadlines.
  • This position does not require travel, with the exception of a possible annual team meeting.

 

Degree of Supervision Given

This position has no direct supervisory responsibility.


Compensation
AFT offers a competitive compensation package, including excellent vacation, medical, retirement, and other benefits. This position offers an annual salary of $75,000 - $80,000.
