Description

Job Title: Accounts Payable Manager

Reports to: Controller

Location: Houston, TX / hybrid

Summary

We are a private equity–backed, multi-entity emergency care group looking for an Accounts Payable Manager to own the full AP cycle across our entities. You will run AP and corporate cards in Ramp and NetSuite, keep vendors paid accurately and on time, and deliver clean AP data for close, treasury and our PE partners at the corporate level.

Role & Responsibilities:

AP operations and Ramp

  • Own the AP cycle across all entities: review invoices against contracts and POs, code to the right entity, facility, department and GL account, and route for approval under the Delegation of Authority
  • Monitor the AP queue daily and clear unapproved invoices and card transactions
  • Run Ramp for AP, cards and reimbursements: workflows, card controls, expense review and offboarding
  • Maintain the Ramp–NetSuite integration and mappings; fix sync errors and keep intercompany expenses coded to the right entity
  • Lead and review the work of an offshore AP team

Payments and cash coordination

  • Prepare weekly payment runs by due date and vendor priority for release by treasury
  • Send expected disbursements to treasury for the weekly cash forecast
  • Schedule recurring payments so none are missed or duplicated; track IDR fee payments and resolve stale checks
  • Capture early-pay discounts and card rebates where they make sense

Vendor management and compliance

  • Serve as the main contact for vendors on invoices, disputes, credits and statement reconciliations
  • Own vendor onboarding and the vendor master: W-9s, TIN matching, OIG exclusion screening and duplicate cleanup
  • Prepare and file annual 1099s and manage unclaimed property for uncashed checks

Close, reporting and controls

  • Complete AP close on calendar: cutoff, accruals, prepaids and the AP subledger-to-GL reconciliation; reconcile Ramp to NetSuite monthly
  • Report AP aging, past-dues, processing time and DPO to the Controller, VP and corporate PE team; support the annual audit
  • Enforce controls: duplicate-payment checks, independent call-back verification of vendor bank changes, and documented support for every payment
  • Keep AP policies and procedures current and drive automation in Ramp and NetSuite

Requirements

 Educational Qualifications:

  • Bachelor's in accounting or finance; 5+ years in AP, including 2+ leading AP or a team
  • Full-cycle AP across multiple entities, including intercompany and month-end close
  • NetSuite experience; Ramp or a similar AP and card platform
  • Working knowledge of 1099 reporting, payment controls and audit support
  • Strong Excel, attention to detail and a clear, firm communicator with vendors and approvers

Preferred: Healthcare or multi-site operations experience; private equity–backed company experience; offshore team management; AP automation implementation.

  • NetSuite experience
  • Ramp or similar accounts payable and corporate card platform experience
  • Working knowledge of 1099 reporting, payment controls, and audit support
