About the role

The Accounting Specialist will play an important role in establishing processes and systems to enhance Finance administration capabilities of the Operations function. This position requires a proactive and highly motivated individual who is comfortable in a fast-paced environment, managing multiple tasks and responsibilities at once.

The successful candidate will have deep knowledge of accounting and GAAP, great attention to detail, and excellent communication skills. This role requires good judgment and the ability to collaborate, resolve accounting discrepancies, communicate with clarity and thoughtfulness, and maintain strong vendor relationships.

This position will be 100% remote and report to the Vice President of Finance and Operations.

Financial Administration (80%)

  • Collaborate with bookkeeping vendor to ensure timely accounting of Aperio expenses & coordinate on-time monthly close processes.
  • Streamline and establish month close processes for an accrual system of accounting.
  • Serve as day-to-day contact for Aperio vendors. Confirm alignment of vendor invoices to contracts/orders and process payments accurately and on-time, collaborating with team members as required.
  • Review and submit client invoices on-time ensuring accuracy and alignment with contracts and scopes of work. Support the Director, Finance in receivables management.
  • Process expense reports submitted by staff ensuring compliance with Aperio’s published policies and accurate expense classification.
  • Proactively seek opportunities to improve processes and identify areas for improvement.
  • Undertake special projects as assigned.

Legal and Compliance (20%)

  • Coordinate with the legal team to ensure timely state registrations and renewals.
  • Submit new contracts to the legal team for on-time registration.
  • Establish processes and systems to streamline Aperio’s compliance mechanisms.
  • Undertake special projects as assigned.

Qualifications

  • A bachelor’s degree in accounting or related field preferred
  • Minimum of 3 years’ bookkeeping or similar experience
  • Experience working with an accounting software; proficiency with QuickBooks preferred
  • Proficiency with MS Office suite, especially Microsoft Excel, Word and PowerPoint
  • High results orientation with ability to manage multiple deliverables while maintaining attention to detail and quality output.
  • Strong written and verbal communication skills.
  • Collaborative working style that builds trust within the organization and with vendor partners

Location

This position will be 100% remote.

Compensation

This is a part-time role (20 – 24 hours per week, 3 - 5 days per week) with a potential to grow into a full-time position. Compensation ranges from $30 - $40/hour and will align with experience.
