Van Horn Automotive Group has an excellent opportunity for a full-time Accounting Operations Coordinator to join our winning team!
The Accounting Operations Coordinator provides on-site support and oversight for dealership administrative and accounting processes. This role serves as a consistent resource for dealership teams by helping strengthen process compliance, improve communication, resolve recurring issues, and ensure accounting and operational tasks are completed accurately and on time.

Your Responsibilities:
- Monitor dealership adherence to accounting policies, documentation standards, internal controls, and monthly reporting requirements.
- Review accounting requests and supporting documentation for completeness and accuracy.
- Follow up on outstanding reconciliations, schedules, accounts receivable issues, documentation requests, and other accounting-related action items.
- Support deal jacket completeness, funding follow-up, titling, registration, and related documentation processes.
- Serve as a primary point of contact for routine accounting, administrative, title, registration, and dealership process questions.
- Research issues, gather supporting documentation, and coordinate resolution with dealership and corporate teams.
- Track outstanding action items, owners, due dates, and completion timelines to help prevent delays and missed deadlines.
- Identify recurring accounting errors, process breakdowns, and training opportunities and help coordinate corrective action.
- Reinforce established policies, procedures, documentation standards, and operational expectations.
- Support onboarding and ongoing training related to dealership accounting and administrative processes.
- Assist with Tekion process support, workflow clarification, and user training.
- Prepare concise updates for leadership regarding open issues, overdue requests, process concerns, and improvement opportunities.
- Assist with audits, process reviews, dealership visits, special projects, and other operational initiatives as assigned.
Qualifications:
- High School Diploma or equivalent.
- Prior dealership accounting, office management, titling, compliance, or operational support experience preferred.
- Experience with dealership management systems, accounting processes, internal controls, and related operational workflows preferred.
- Strong organizational and analytical skills with exceptional attention to detail.
- Ability to manage multiple priorities and follow through on deadlines.
- Ability to handle confidential financial, employee, and operational information.
- Strong problem-solving and conflict resolution skills.
- Ability to influence others and reinforce accountability without direct authority.
- Ability to navigate resistance to established procedures while maintaining positive working relationships.
- Excellent verbal and written communication skills.
- Willingness to work regularly on-site at assigned dealership locations and travel occasionally to other Van Horn dealerships throughout Wisconsin.
