Role: Account Assistant - 12 Month FTC
To provide full support for the Division in the management and administration of the SOPs system. To proactively ensure the management of financial and operational data that contributes to the accurate and timely reporting of the Division within SOPS.
Interface between the Division and the Central Finance Team in the effective operation and management of data within the SOPs system
- Liaise with Sales Department to ensure accuracy and completeness of Sales Orders and attend all sales handover meetings to maintain knowledge of the Division’s orders
- Act as the conduit with the operational teams to obtain relevant information needed to support the maintenance of SOPS by ensuring orders are correctly setup in SOPs and all SOPS data is accurately recorded.
- Produce all necessary financial and management reports as requested by the Division
- Management of the Maintenance Order Book (MOB) including forecast updates and go live dates as instructed by the BU
- Lead responsibility for the general housekeeping of the order book including aged orders and notifying the operational teams accordingly when the need to provide updates
- Manage the coordination of MCCF’s and ISF’s in the system as directed by instructions from the BU
- Ensure all supplier invoices are reviewed, ensuring a PO is in place and the GRN process managed accordingly through to full recognition
- Lead the monthly LTI reviews through liaison with Finance and the BU by ensuring the invoicing profile of orders is correct and undertake forecast updates accordingly
- Working with the BU to ensure completeness of sales invoicing and raising credit notes as required
- Prepare/process sales order amendments where required
- Work in conjunction with the Debt Management team to provide information and updates as required
- Undertake pro-active data quality reviews of the SOPs data
- Assist the BU with adhoc requests and tasks where needed
The ideal person should have:
- Experience of a Service Order Processing System
- Experience of working in a PMO, Finance or Project Delivery Environment
- Ability to take ownership of work areas through to completion
- Efficient, confident and organised
- Ability to meet tight month end deadlines and other deliverables
- Excellent communication skills
- Experienced user or Outlook, Excel (including formulas and spreadsheets links) and Word
- Understanding of accountancy transactions
- Excellent attention to detail
- Minimum A level qualifications
