What you will do:
Account Coordinator is responsible for supporting the Sales team on a daily basis. You will prepare various contractual agreements, including integrated multi-million dollar deals and first time deals for clients in the hundreds or thousands of dollars, for a variety of media types within the Cineplex Media represented properties, Out Of Home networks including Shopping Centres, Service Centres, Theme Park, Restaurants, as well as Online/Mobile, to help meet and exceed client objectives.
This is a hybrid position (3 days in the office per week). Office location is 1303 Yonge Street, Toronto.
Key Responsibilities
- Prepares proposals and contracts in a customized CRM system and Advertising Accord (Unique X) software, based on campaign objectives provided by clients and Account Executives and inventory availability, while still ensuring policies and procedures are met. (Account Coordinators are secondary specialists in the Unique X cinema software, used to support best practices in contracting premiere auditorium booking)
- Ensure that the proper financial approvals from management are being collected, as per Cineplex Media guidelines, and that no fraudulent activity is taking place.
- Compile attendance and impression data, gathering from multiple sources and record on proposals/contracts.
- Manage clear communication to Account Manager to ensure client understanding of proposals/contracts, as well as communications internally to secure inventory and delivery.
- Manage and coordinate multiple projects simultaneously, while maintaining individual detail and a high level of organization and accuracy.
- Assists with the preparation of detailed special instructions, Indemnities, and Certificates of Insurance for Activation campaigns by working with the client, venue, and production manager to ensure a legally run event.
- Assists the Reporting Manager with the completion of Post Campaign reporting for each completed campaign, as is industry standard.
- Prepare and analyze any additional revenue reporting, as assigned by the Director Sales Support and/or Account Manager, using Excel pivot tables that are connected to a central database.
- Proactively address concerns and requests while managing expectations throughout the proposal and/or contract lifecycle.
- Monitor and review on screen cinema campaigns while in market to ensure accurate pacing and overall delivery on forecast attendance.
Education & Certification
- A post-secondary education at the community college level
- Intermediate Office 365; specifically MS Excel
- Strong listener, and a strong communicator, both oral & written
- Strong analytical & organizational skills
Experience
- Minimum 2 years work experience in a coordination or administrative capacity in a fast paced, high pressure environment.
- Ability to manage and meet multiple deadlines as assigned
