The Account Coordinator provides support to the Account Management team, IT team, Merchandising team, Marketing team, department leader and our clients. Most duties center around administration, project tracking, research, proofing, website testing, creating client quotes, creating and graphically enhancing presentations and marketing collateral needs while maintaining brand integrity and positive working relationships, under the direction of the Director of Relationship Management.
The position requires exceptional attention to detail and communication skills.
This position is Pacific Time Zone based and requires residency in the Pacific Time Zone and the ability to work PT business hours of 8:00am – 5:00pm PT.

The Account Coordinator reports to the Director of Relationship Management.

Hourly Pay Range:

  • $27-29 hourly pay


Core Job Responsibilities May Include the Following, Among Others:

  • Provide support to the Account Management team, Merchandising team, IT team, Marketing team, department leader and our clients.
  • Research products, suppliers, pricing, lead times, and events to assist in the development of client programs, program redemption lists, and product matrices.
  • Build strong relationships with clients and provide outstanding client support to ensure the satisfaction of our clients and continued business opportunities.
  • Develop mutually beneficial relationships with other internal departments, product suppliers, event space suppliers, IT partners, and creative design partners, and interact with them as needed.
  • Develop and present client program quotes and track the progress of client projects using Project Management methodologies.
  • Maintain reports summarizing client quotes and closure rates.
  • Analyze data on sales, program, and redemption reports, create charts and pivot tables, convert the data to visual formats, and present the data as needed via Excel or PowerPoint to various shareholders, both internal and external.
  • Prepare presentations for clients and assist with additional marketing efforts as needed.
  • Compile product matrix files and upload them into the backend of customer-facing websites for redemption programs.
  • Perform quality control and user experience checks on client-facing and customer-facing websites for redemption programs.
  • Respond to requests for information from internal and external stakeholders.
  • Support Account Managers with all needs relating to clients and provide inside sales support.
  • Collaborate and communicate effectively with internal and external stakeholders, including clients, vendors, and customers of the clients.
  • Plan, execute, and attend client redemption events.
  • Provide account support and website support before, during, and after client events, including preparation of the customer-facing website to support the event, monitoring the functionality of the website during the event, and reconciling the data on the website after the event.
  • Coordinate and implement marketing communication projects as directed by the Marketing team.
  • Support and plan trade shows and special events.
  • Create consistent themes, messages, and branding in all communication touch points.
  • Source and develop content and visual collateral.
  • Liaison with external resources and internal sales and product teams.


Knowledge, Skills, and Abilities:

  • Exceptional attention to detail

  • Dogged follow-up skills and the ability to hold the delivery team accountable
  • Advanced skills in Microsoft Excel and Microsoft PowerPoint
  • Strong proofreading skills
  • Strong brand marketing attentiveness and application
  • Availability to travel to client or Innowave events as needed. There are approximately 3-4 client events per year. Most trips are 3 days on average and occur April to November, but some are for a full week. These details are subject to change.
  • Experience with web projects (e-commerce sites) is a plus
  • Management of multiple tasks at one time while meeting deadlines and maintain strict attention to detail
  • Excellent verbal and written communication skills
  • Bachelor’s degree in appropriate field of study or equivalent work experience
  • 3+ years of experience in similar duties
  • Quick learner, self-starter, takes initiative
  • Self-motivated and able to thrive in a fast-paced environment, applying good judgment and decision-making on your feet
  • Ability to prioritize among competing tasks, and shift to higher priority tasks with short notice
  • Proven team player who is willing to contribute in any way necessary in order to meet the needs of our clients
  • Resourceful, solutions-focused attitude that adapts well to change
