Job DescriptionThe University of Notre Dame Graduate School has a crucial role in supporting graduate programs and helping ensure that Notre Dame graduate students become a force for good in the world. With many nationally and internationally recognized graduate programs, the Graduate School attracts top scholars from all over the globe. We are looking for someone who is driven, a problem solver, and a collaborative partner to achieve the mission and vision of Our Lady’s University in advancing graduate studies.
Reporting to the Associate Dean for Academic Affairs, the Program Director for Academic Services will play a crucial role in student-related academic issues concerning the 41 academic programs under the purview of the Graduate School. The Program Director for Academic Services will provide information to programs regarding policies and procedures, as well as solutions to resolve issues. The Program Director will work closely with the Registrar’s Office and liaison with graduate department administrators and faculty, and ISSA regarding international students. This role will interface with students, administrators, and faculty. The Program Director for Academic Services will supervise the Senior Academic Services Coordinator and, when necessary, student and temporary workers.
The Program Director for Academic Services has responsibilities in the following areas:
- Student Records Management and Reporting: Maintain permanent, secure, and accurate academic records including grades, progress toward degree, attrition, graduation, and demographic updates. Provide ad hoc reports using various reporting platforms.
- Registration and Enrollment: Oversee class registration, review and track all Registrar’s eforms for graduate students (drop/add, withdrawal, leave of absence, etc.), and track enrollment status with particular focus on international students’ compliance and status.
- Degree Audits and Graduation: Review students’ records to verify degree requirements from 41 different graduate programs are met, as well as manage the graduation process. Oversee the academic aspects of the Graduate School’s commencement ceremony.
- Eligibility: Monitor graduate student eligibility (low GPA, time to degree limits, etc.) and milestones. Admit students to candidacy and alert programs when issues arise.
- Onboarding and Training: Provide onboarding/ training to program admins and directors of graduate studies on Graduate School processes and procedures, as well as reporting tools and the Graduate School’s student information system OnBase.
- Co-chair Monthly Administrators’ Meetings: Coordinate meeting logistics including agenda and speakers. Present timely information and training to all graduate program administrators.
Minimum Qualifications
- Bachelor’s degree (4 years)
- 3 - 4 years of experience with graduate student administration and/or registrar functions
- Experience with CRM tools
- Project management experience
- Data reporting and analytics

- Strong verbal and written communication skills

- Running large-group meetings
