Job Description:

The editor is responsible for assisting in the checking and approving of all electronic theses and dissertations. She or he communicates requirements for formatting and submitting final documents via the Graduate School guidelines, workshops, preliminary document reviews, and the existing web portal.  During the final review process, the editor notifies students of missing forms and necessary changes in documents for compliance with the guidelines. The editor checks documents for format, unity of parts, consistency of style, details of conformity with other Graduate School regulations, and permissions for, and correct acknowledgment of, previously published material.

 

This is a part‐time, seasonal position. The person in this position will work on an as‐needed basis throughout each semester.

 

Job Responsibilities: 100%

Maintain familiarity with Graduate School and university requirements for formatting and submitting final versions of theses and dissertations, including

knowledge of various style manuals, scientific journal formats, and publication-level scholarly editing.

Respond to questions from students, faculty, and staff regarding thesis and dissertation requirements.

 

Prior to document-submission deadline: a) conduct preliminary reviews of theses and dissertations for interested students via email; b) conduct two-plus workshops per semester to review submission and formatting requirements with interested students.

 

Conduct the final review of ca. 150 theses and dissertations per semester for compliance with Graduate School guidelines, and correspond with students about required changes.

 

Approve all revised theses and dissertations for publication on the Digital Commons site, a) ascertaining that required accompanying forms are in order and b) updating the mainframe.

     

Periodically review and update Formatting Electronic Thesis and Dissertations (“the Guidelines”) published by the Graduate School. [As soon as you all decide on whether to call the guidelines the T&D Handbook or not, this would change to “. . . and update of the Thesis and Dissertation Handbook.”]

 

Create and update thesis and dissertation templates and their guide sheets.

 

Work to improve submission and review procedures.

 

Assist Graduate School staff in serving degree candidates in a timely manner.
