Job Description

The overall purpose of this position is to support student success and institutional effectiveness through the development, coordination, and maintenance for academic schedules, implementation of strategic scheduling software, and coordination of instructional space usage. The Academic Scheduling Coordinator serves as the primary manager for the College's academic scheduling and space management systems, ensuring accurate integration with the student information system, and effective use of the instructional and event spaces. This position works closely with academic leadership and campus stakeholders to resolve scheduling conflicts, analyze space utilization, and provide reliable data to support instructional planning and institutional decision making.

PRINCIPLE RESPONSIBILITIES AND RESULTS

1. Annual Academic Scheduling.

Manage the scheduling of academic classes, final exams, and instructional spaces using the College's scheduling and student information systems. Ensure accurate data integration between systems and maintain scheduling structures for each academic term. Work collaboratively with academic deans, academic departments and programs, and non-credit personnel to coordinate schedules, communicate changes and support instructional planning and delivery.

2. Space Assignment & Utilization Management.

Oversee the assignment and approval of academic and non-academic space usage across all campuses. This includes credit, non-credit, and room rental scheduling. Monitor space availability, resolve conflicts, and ensure spaces are used efficiently to support instruction, events, and College operations.

3. Strategic, Data Informed Academic Scheduling.

Apply data-informed scheduling strategies to improve course availability, optimize instructional pathways, and support timely degree progression, while collaborating with academic leadership to align course scheduling with institutional goals and student needs.

4.Data Analysis & Reporting.

Conduct space utilization and scheduling analysis and provide reports to academic leadership and other stakeholders to support planning, compliance, and resource allocation.

Priority:  Essential                                  Percent of Time: 10%

5. Location Inventory & Database Maintenance.

Maintain accurate records of all physical, virtual, and off-site locations used by the College. Conduct periodic audits and update scheduling and student information systems to ensure data accuracy.

6. Collaboration & Communication.

Collaborate with academic affairs and student affairs departments to adjust course schedules to accommodate changing enrollment demand and rescheduling of courses to support timely completion of graduation requirements in each program.

7. Operational Support

Support Industry Sector Board meetings, including scheduling, agendas, follow-up, and annual surveys.

8. Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner.

$24.40 - $35.30 / $50,947.00 - $73,706.00

Minimum Qualifications

  • Two (2) years of professional relevant work experience OR an associate’s degree plus eighteen months related work experience OR an equivalent combination of education and experience.  An associate degree could substitute for 6 months of experience, a bachelor’s degree is 12 months, and a master’s degree is 18 months within any of the following disciplines: information technology, business or related field.

  • Two (2) years of experience working with complex records systems and interactive technology, including work building and using queries, and experience preparing schedules for academic programming.

  • Experience scheduling meetings and managing communication with stakeholders.

  • Strong customer service and interpersonal skills sufficient to: Provide prompt, welcoming, courteous and accurate information to customers in person, on the phone, and through e-mail and other written correspondence.

  • Knowledge and skill in data entry/spreadsheets sufficient to: Perform functions accurately using software such as Microsoft Excel to develop and modify spreadsheets, set up queries, extract information and produce reports from a variety of sources.

  • Strong organizational, problem-solving, and attention-to-detail skills, with the ability to prioritize workload, manage multiple projects independently, meet deadlines, and maintain accuracy and focus on complex issues in a fast-paced environment with frequent interruptions.

  • Excellent decision-making skills with the ability to analyze complex information, research answers to problems and/or concerns, and/or create reports for management.

Preferred Qualifications 

  • Bachelor’s degree in information technology, business or related field.

  • Knowledge of systems such as Database management, database administration, and system data interface.

  • Knowledge of the Minnesota State Faculty Contract, or employment contracts associated with collective bargaining.

  • Understanding of higher education processes, policies, and culture, including those that pertain to curriculum development and academic portfolio management.

  • Knowledge of academic programming.

  • Bilingual/multilingual fluent in Spanish, Karen, Karenni, Somali, Pohnpeian, French, Nuer, Anuak, or other languages that reflect our student body, workforce, and communities.

  • Demonstrated experience working with multicultural and underserved populations.
