Job Description:

The Academic Program Coordinator (APC) handles the day-to-day operations that support research, teaching, and learning at the Cogut Institute for the Humanities. Each year, the institute hosts a broad range of events and courses that bring together scholars from across the University.

Reporting to the Director of Academic Programs, the coordinator serves as a first point of contact for prospective applicants, prepares review materials for the institute’s governing board and selection committees, and administers research expense reimbursements for the institute’s faculty and students.

The coordinator works with a changing roster of faculty members to prepare course proposals, ensures that classrooms and offices are ready for use, responds to A/V queries, facilitates travel arrangements for guest speakers and instructors, and supports course-related events and weekly research seminars. The coordinator participates in outreach efforts for these programs and contributes to the design and distribution of communications materials.

The position is part of a collaborative team and regularly interacts with institute staff including the Director, Institute Manager and the Communications Manager. The role involves maintaining knowledge of University policies, technical systems, and institute guidelines and requires acting as a financial coordinator.

Education and Experience

  • Associate’s degree and 3 years related experience or the equivalent combination of education and work experience.
  • Experience in higher education, preferred.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills.
  • Excellent attention to detail.
  • Excellent computer proficiency, including Google Suite, Microsoft Office (Excel, Word, PowerPoint), Workday, Banner, GSIM, scheduling software and Zoom, with a proven ability to learn new software tools as necessary.
  • Strong financial skills.  
  • Experience with use and troubleshooting of A/V systems and office equipment, preferred.
  • Ability to maintain good working relationships with all levels within the University and external communities.
  • Initiative and ability to think, act, and solve problems independently and as a member of a highly collaborative team.
  • Ability to multitask and prioritize workload and goals in a fast-paced environment.

Additional physical demands and working conditions:

May be expected to work some evenings and weekends (days).
