Responsibilities

The ACA Specialist supports the day-to-day delivery of client Affordable Care Act reporting services by preparing and reviewing data, maintaining reporting workflows, resolving issues, and providing responsive client service. Although the position is based in Kansas City, the role may be performed remotely from any location in the United States.

 

Essential Functions and Primary Duties

 

Client Data and Reporting

  • Prepare and format client data for import into approved technology solutions, including consolidating information from multiple sources, using Excel lookup functions, and converting source content into structured Excel files.

  • Create employer census and offer-of-coverage files required for client data submission through CBIZ ACA CheckPoint.

  • Review client-provided Excel files; correct formatting or data-quality issues before import.

  • Load client data into the reporting platform and maintain accurate processing records.

  • Review and audit Forms 1095-C generated through the reporting platform for accuracy and completeness.

  • Retrieve documents, records, and reports from the shared ACA database.

  • Prepare reports, correspondence, spreadsheets, presentations, and other business documents as needed.

 

Client Service and Communication

  • Review incoming emails, memoranda, and reports; identify required actions; and respond or route items appropriately.

  • Maintain current contact lists for clients and employees who have access to the CBIZ ACA CheckPoint dashboard.

  • Communicate with clients regarding reporting progress, data needs, deadlines, and system access. 

  • Coordinate recurring client webinars and demonstrations, maintain related calendars, and exercise independent judgment when handling client data and employment and benefits administration matters. Prepare for, host, and lead daily client training webinars.

  • Collaborate with other CBIZ reporting units to resolve issues and support consistent service delivery, as well as assist in the education of benefits account teams internal to CBIZ.

 

Workflow and Business Tracking

  • Track each client’s annual reporting progress and update the designated tracking file weekly to support timely reminders and direct follow-up.

  • Track renewals, new business, consulting engagements, and related revenue; provide weekly updates to the manager and business leader and daily updates during renewal season.

  • Independently manage competing priorities and deliver accurate work within reporting deadlines.

  • Perform additional duties as assigned by manager or business leader.

 

Technology, Compliance, and Quality Control

  • Develop and maintain proficiency in CBIZ ACA CheckPoint and other approved reporting platforms.

  • Apply ACA reporting requirements and established procedures when processing and reviewing client data.

  • Use approved AI and automation tools to support drafting, summarization, data review, quality control, workflow organization, and process improvement.

  • Review all AI-assisted work for accuracy, appropriateness, compliance, confidentiality, data privacy, and information security before use or distribution.

 

Knowledge, Skills, and Abilities

  • Strong customer service and client-facing communication skills.

  • Ability to communicate clearly and professionally in writing and verbally with internal and external stakeholders at all organizational levels.

  • Ability to analyze information, identify issues, and prioritize multiple responsibilities.

  • Ability to work independently and collaboratively in a deadline-driven environment, including during peak reporting season.

  • Proficiency in Microsoft Word, Excel, Outlook, and Teams, including experience using Excel to organize, review, and reconcile data.

  • Ability to learn and effectively use ACA reporting platforms, client-facing dashboards, and approved AI-enabled productivity tools.

  • Commitment to confidentiality, data privacy, information security, and responsible review of AI-assisted work.

 

Preferred Qualifications

  • Bachelor’s degree in human resources, business, or a related field.

  • Knowledge of employee benefit plans, health care, or benefits administration.

  • At least three years’ experience in working in or managing a help desk environment for benefits-related platforms, such as BenAdmin, payroll, HRIS or ACA reporting services 

  • Experience with reporting, data analysis, or HR information systems.

  • Experience with Affordable Care Act reporting or compliance.

  • Demonstrated experience supporting, reviewing, or maintaining business data.

Minimum Qualifications

  • High school diploma or GED required. Bachelor's degree preferred
  • 3 to 5 years of insurance claims related experience
  • Must maintain current required licenses and certifications relevant to field of expertise
  • Demonstrates the ability to communicate verbally and in writing throughout all levels of the organization, both internally and externally
  • Effective customer service skills
  • Proficient use of applicable technology
  • Ability to work in a team environment as well as independently
  • Ability to analyze and prioritize multiple responsibilities
