Job Summary:
The Office assistant provides administrative and clerical support to ensure efficient day-to-day office operations. This position is responsible for managing communications, preparing business documents, maintaining records, supporting document management activities, and assisting departments with administrative projects. This role requires strong organizational skills, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
QualificationsRequisites
- Reports directly to the Vice President.
- Regular, full-time position requires a minimum 40-hour weekly schedule.

- Must pass a background check and drug screening.
- High school diploma or equivalent required, with two (2) to three (3) years of administrative, clerical, customer service, marketing, or office support experience required.
- Valid driver’s license and dependable transportation.
- Compliance with AVC’s rules and regulations.
Tasks and Work Activities
- Answer, screen, and direct incoming telephone calls and electronic communications.
- Assist marketing, applications, engineering, and parts with administrative projects, reporting, document management, and operational support activities.
- Perform data entry, document preparation, filing, scanning, copying, and recordkeeping activities.
- Prepare correspondence, reports, spreadsheets, forms, and other business documents.
- Organize and maintain physical and electronic filing systems.
- Maintain confidentiality of company information, personnel records, and business documentation.
- Support document retention, records management, and company filing procedures.
- Maintain accurate administrative records and assist with data verification and information updates.
- Assist with preparation and distribution of company communications, forms, and documentation.
- Establish and maintain effective working relationships with customers, vendors, visitors, and employees.
- Perform other administrative and clerical duties as assigned.
- Proficiency in English including spelling, grammar, composition, reading comprehension, and professional communication.
- Strong organizational and time management skills.
- Ability to manage multiple tasks and priorities simultaneously.
- Knowledge of general office procedures, administrative practices, and recordkeeping methods.
- Maintain cleanliness and organization in personal workspace.
- Proficiency in Microsoft Office 365, electronic filing and document management systems, data entry and business management software, and video conferencing and collaboration tools.
