Position Overview 

The Operations Coordinator will be the front line for families, staff, and visitors, greeting everyone with a smile and troubleshooting any problems that arise. They will ensure that the school day's daily logistics run efficiently, by leading various subfunctions of operations.

Core Competencies & Responsibilities

  • Maintain accurate and up-to-date student records, and student and family data is handled securely and in compliance with FERPA and other relevant law
  • Manage and update student information systems: ATS, PowerSchool, Internal Rosters, SchoolMint 
  • Analyze attendance, student performance, and enrollment trends to support leadership decisions
  • Lead all aspects of student enrollment and discharge procedures 
  • Manage daily student food services ensuring the accurate tracking of student meal consumption and submission of compliance forms, as well as manage any daily concerns 
  • Manage student transportation services in collaboration with the Office of Pupil Transportation, as well as communicate early dismissal, school closures, calendar updates, and issues as they arise 
  • Support the Operations Team in conducting required emergency drills (Code Blue, Hard/Soft Lockdowns, and Evacuations) and other compliance-related tasks
  • Coordinate Student Health Services in collaboration with the Operations Manager and School Nurse, as well as immunization compliance, coordinating vision screenings, and school dental clinics
  • Prepare the building annually for start-up/new school year launch
  • Lead calendar-related communication efforts to all Brilla stakeholders via our communication platforms: Parent Square and PowerSchool
  • Manage technical support and troubleshoot system issues
  • Coordinating and disseminating communications during emergencies, such as inclement weather closures or safety incidents
  • Manages weekly supply inventory/equipment checks
  • Restock/service workroom supplies as necessary
  • Welcome visitors and answer phones
  • Coordinate planning and implementation of school events and initiatives 
  • Assist with facilities management, including weekly and monthly facilities walk-throughs to ensure facilities are up to Brilla standards
  • Coordinate the creation and distribution of all school-wide communications: school foods calendar, informational flyers, enrollment flyers, etc.
  • Coordinate additional tasks as needed, such as budget tracking, vendor communication, or special projects assigned by the leadership team.
  • Perform other duties as assigned

  • Bachelor’s degree or higher required

  • Proficiency with Google Workspace and familiarity with ATS, PowerSchool, Parent Square 
  • Bilingual in English and Spanish
