Supports daily operations of the Share Food Rescue App by coordinating donated-food pickups among donors, partner sites, volunteers, and warehouses. Responsibilities include vetting donation offers, donor outreach, logistics coordination, data management, reporting, responding to inquiries, and assisting with procurement and bulk delivery administration. The role also supports cross-departmental projects and maintains accurate fleet and partner records.

Provides high-level administrative and executive support to the Executive Director, including calendar management, travel coordination, communications, meeting preparation, board and governance support, recordkeeping, and special projects. The role requires discretion, strong organization, writing and communication skills, proficiency with office and CRM tools, and the ability to manage competing priorities in a fast-paced warehouse and nonprofit environment.

Processes accounts payable invoices and payment runs, maintains vendor records, records receipts and deposits, applies payments, and performs monthly bank and credit card reconciliations. The role supports accurate coding, documentation, vendor inquiries, fund tracking, and month-end close using Bill.com, NetSuite, and Excel.

Manages food procurement, donation offers, logistics, partner relationships, reporting, and Share Food Rescue program operations. Coordinates staff, volunteers, community organizations, cross-departmental projects, food drives, bulk deliveries, composting, compliance, and partner requests. Maintains accurate fleet and partner records, responds to inquiries, conducts site visits, supports staff training, and represents Share at community meetings and events.
