Executive Assistant
Voltage Park is building a machine learning cloud infrastructure business from the ground up. As part of this effort, we’re looking for an Executive Assistant to join our small team, who will keep our business running smoothly, supporting our key executives and overseeing our day-to-day operations. As an early hire, you’ll also have significant influence in defining our company culture and ensuring our success.
This is a remote role, but you must be located in the Los Angeles area.
What you’ll do
Calendar Management – manage the CEO and executive team calendar, including scheduling and prioritizing meetings, sharing agendas, and resolving scheduling conflicts
Travel Coordination and Expense Reporting – handle all executive travel arrangements, including transportation, accommodation, and itinerary planning. Manage expense reporting on the Ramp platform
Event Planning – manage logistics for internal and external meetings, and team off-sites, including venue selection, coordination with vendors, agenda planning, and post-event/meeting follow-up, ensuring seamless execution and positive experiences for all participants
Admin Process Improvement – identify opportunities to streamline administrative processes and implement systems to improve efficiency and organization where needed.
Special Project Coordination - Collaborate with internal stakeholders on special projects, providing assistance in research, project management and additional support, as needed
Qualifications
4+ years of experience supporting C-level executives at a fast-moving organization, preferably in the tech industry. You’ve managed high-stakes relationships with professionalism, grace and confidence.
High emotional intelligence and excellent communication skills with a track record of developing and maintaining cooperative working relationships with and among a diverse group of stakeholders at all levels
Meticulous attention to detail – you sweat the small stuff and have a keen eye for accuracy and organization
Proven ability to navigate ambiguous situations and find solutions with a sense of when to seek guidance
Ability to remain calm under pressure and adapt to changing priorities while seamlessly managing multiple tasks
Low ego and willingness to work on tasks of all sizes within a small team environment. You’re proactive with a “get it done” attitude
Demonstrated ability to handle sensitive information with discretion and maintain confidentiality
Experience using Google Suite, and tools such as Slack, Asana, Notion and Ramp
Bachelor’s degree or equivalent experience

Compensation Range: $100K - $125K
