Provide administrative and office support to firm leadership: schedule and coordinate meetings, prepare agendas and minutes, set up conferences and events, draft letters/contracts, assist with proposals and client requests, perform internet research, serve as back-up receptionist, liaise with vendors, and support special projects in a fast-paced professional services environment.

Provide administrative, reception, and client-service support to senior leadership and staff: calendar and meeting coordination, document preparation and formatting, front-desk duties, event and visitor management, office organization, and general administrative tasks.

Provide administrative and office support to the Office Director and teams: prepare and edit documents, manage CRM data (Salesforce), track shop drawings via ProCore/E-Builder, handle reception duties, maintain office supplies, perform internet research and data entry, and organize events and vendor logistics.

Manage preparation and production of marketing proposals, presentations, and submittals. Maintain marketing resources (brochures, slides, photos, files, database), coordinate internal staff and outside vendors, provide graphics and technical support, perform research, and assist on special marketing projects to represent firm qualifications for RFQ/RFP responses.

Lead PBK's portfolio of Architecture/Engineering automation, AI, and innovation initiatives: intake, prioritization, agile delivery governance, cross-functional coordination, vendor management, SDLC/release readiness, change management, ROI/KPI tracking, and continuous delivery improvements.

Lead development and enforcement of BIM standards, manage Revit/AutoCAD BIM workflows, provide training and technical support, create templates/content libraries, coordinate MEP models with architects, automate BIM routines, and participate in production of project models.

Manage project financials by ensuring contract compliance, accurate billing, AR/AP processing, ERP project setup, month‑end close support, WIP preparation, internal controls, and financial analysis to support Project Managers and Operations.
