In this role, you can expect:
- On-Site Workplace Operations:
- Own the daily operation of the Vancouver office, ensuring all facilities, shared spaces, services, and amenities are fully functional and ready for use.
- Accountable for a high standard of office readiness, cleanliness, safety, and hospitality at all times.
- Oversee on-site security and access control, including keycard administration, visitor protocols, and coordination with building security.
- Ensure the office meets health, safety, and emergency preparedness standards, including regular checks, drills, and documentation as required.
- Serve as the primary on-site escalation point for facilities, safety, and workplace-related issues.
- Identify operational risks and proactively address potential workplace issues before they escalate or impact the employee experience.
- Support in-building subtenants by coordinating shared services, access needs, and operational communication in alignment with established agreements.
- People Leadership & Team Management:
- Directly manage and support the on-site Workplace Experience team, including coaching, prioritization, and performance feedback.
- Set clear expectations, workflows, and service standards for the team.
- Foster a collaborative, service-oriented culture within the Workplace Experience function.
- Support hiring, onboarding, scheduling, and ongoing development of on-site WX staff as needed.
- Vendor & Building Management:
- Act as the primary liaison with the landlord, security personnel, cleaning staff, maintenance personnel, and other service providers.
- Manage vendor performance, contracts, invoices, and service-level expectations in partnership with the Senior Manager.
- Coordinate repairs, maintenance, and preventative service schedules to minimize disruption to employees.
- Support after-hours or urgent facilities issues as required.
- Office Programs, Events, & Employee Experience:
- Execute in-office programs and events that support employee engagement, culture, and connection.
- Partner with internal teams to support meetings, events, and special initiatives hosted at KHQ.
- Be a visible and approachable presence in the office, actively engaging with employees to gather feedback and identify opportunities for improvement.
- Uphold workplace etiquette and shared-space guidelines that enhance the overall employee experience.
- Facilities Projects & Space Support:
- Support on-site delivery of facilities projects, renovations, and space changes under the direction of the Senior Manager.
- Coordinate logistics for furniture moves, space reconfigurations, and office upgrades.
- Maintain accurate records of space usage, assets, and on-site inventory.
- Assist with move-in/move-out coordination for teams, vendors, or temporary occupants as needed.
- Budget & Reporting Support:
- Track on-site facilities expenses and assist with budget management and forecasting.
- Review and approve invoices within delegated authority.
- Provide regular updates to the Senior Manager on operational issues, risks, and resource needs.
- Support data collection related to office utilization, service requests, and operational trends.
To be successful in this role, your background includes:
- Post-secondary education or equivalent experience in facilities management, workplace experience, hospitality, or a related field.
- 4-6+ years of experience in workplace experience, office operations, facilities, or hospitality roles.
- Experience supporting an in-office or hybrid workforce in a mid-to-large office environment.
- Prior experience managing or leading a small team, including setting priorities and providing feedback.
- Experience working with a diverse group of stakeholders across an organization, including employees, vendors, cross-functional partners, and senior leaders.
- Excellent organizational and communication skills, with the ability to manage multiple priorities in a fast-paced, in-office environment.
- A service-oriented mindset with sound judgment and the ability to remain calm and solutions-focused in high-visibility situations.
- Strong collaboration and problem-solving skills, with a proactive approach to identifying and addressing potential workplace issues before they escalate.
- Demonstrated experience supporting and executing in-office events and programs that build company culture and employee engagement.
- Familiarity with facilities projects, space planning, or office renovations.
