Position Title: Wilkinson Honors Program Administrative Coordinator

Department: Academic Affairs

Title of Immediate Supervisor: Director of the Honors Program

Funded Term / Work Cycle: 12-Month, Full-Time

Expected Daily Work Hours: 8:00 a.m. – 5:00 p.m. (some evening/event support as needed)

Expected Weekly Work Schedule: Monday – Friday

Pay Grade: 7S

Starting Salary Expectations: $46,603 – $51,264, with the starting salary determined by relevant experience, qualifications, and demonstrated competencies.

Position Purpose

The Honors Program Administrative Coordinator provides professional administrative and operational support for Maryville College’s Honors Program. This role ensures efficient day-to-day program operations, supports student engagement initiatives, coordinates logistics for program activities, and assists with communications and reporting functions.



SUMMARY

Reporting to the Director of the Honors Program, the Administrative Coordinator supports program administration, student engagement logistics, communications management, data tracking, and cross-campus coordination. The position plays a critical role in ensuring operational consistency, timely communication, and a high-quality student experience within the Honors Program.

  • Bachelor’s degree from an accredited institution required.

Experience required to ensure success in this position:

  • 1–3 years of professional experience in administrative support, program coordination, higher education operations, or student services.
  • Experience working in a higher education or academic support environment preferred.


ESSENTIAL FUNCTIONS

Leadership and Collaboration

  • Support the Director in executing the operational priorities of the Honors Program.
  • Coordinate across campus offices including Admissions, Registrar, Student Affairs, Marketing, and faculty partners to support program logistics.
  • Serve as the primary liaison and operational representative for the Honors Program, coordinating with students, faculty, staff, and campus partners regarding program processes, timelines, and cross-campus initiatives.
  • Contribute to committees or working groups that support student success initiatives when requested.

 

Data, Technology, and Compliance

  • Maintain accurate student records and internal tracking systems related to program participation and milestones.
  • Support reporting, data collection, and assessment documentation in collaboration with Academic Affairs.
  • Maintain website content updates and assist with digital communications platforms.
  • Ensure compliance with institutional policies related to student data, records management, and program documentation.

 

Stakeholder and Institutional Support

  • Plan, coordinate, and manage operational workflows for Honors Program activities, exercising independent judgment to ensure effective program delivery.
  • Support communication strategies to engage prospective and current Honors students.
  • Assist students with navigating program requirements and deadlines.
  • Coordinate co-curricular programming and enrichment activities supporting student engagement.
  • Provide student-facing support that fosters a welcoming and inclusive Honors Program environment for students from varied academic, cultural, and personal backgrounds.

 

Operations and Technical Oversight

  • Manage scheduling, event logistics, space reservations, and program calendars.
  • Coordinate event planning, including vendor communication, setup logistics, and follow-up documentation.
  • Track program timelines and administrative workflows to ensure consistency and accountability.
  • Support preparation of program materials, reports, and communications.

 

Fiscal Oversight

  • Support tracking of program-related expenses in collaboration with the Director.
  • Assist with purchase requests, documentation, and budget-related record keeping.
  • Maintain organized financial documentation consistent with College procedures.

 

Strategic Planning and Sustainability

  • Support implementation of program initiatives by coordinating operational components.
  • Assist with tracking participation trends and engagement metrics to inform program evaluation.
  • Contribute administrative insight to support continuous improvement of program processes.

 

Other

  • Perform other responsibilities and special projects as assigned to advance the College’s mission and maintain a respectful, collaborative learning environment.

 

NOTE: Other roles/duties will be assigned as necessary to assist the College in the attainment of the goals set forth and the enhancement of a positive, respectful learning environment for all staff, faculty, and students.

License, Certification, or Registration Necessary:

None required.



Work Environment and Physical Requirements:

  • Professional office environment with regular interaction with students, faculty, and staff.
  • Prolonged periods sitting at a desk and working on a computer.
  • May occasionally lift or move materials up to approximately 15–20 pounds
  • Ability to travel between campus buildings and support occasional evening or event activities.

 

Ability to operate the following vehicles or equipment:

  • Standard office equipment including computer, phone, printer, and event setup materials.

 

 

 

The College may, at its discretion, sponsor employment-based immigration petitions (such as H-1B or permanent residency) on behalf of employees when permitted by law and aligned with institutional priorities and budget.
