The position
As our Office Coordinator and HR Admin Support at Novo Nordisk, you will oversee general office maintenance and ensure and organized inclusive workspace. You will organize and schedule meetings and appointments, as well as manage and update company databases and documentation systems and assist in the preparation of regular reports and presentations. You will also support P&O with onboarding new employees and ensuring all HR documentation is in place and you will track local relocation/mobility agency operations, ensuring information exchange and vendor management.
Your main accountabilities will include:

  • Coordinate Warsaw Hub office activities and operations to secure efficiency and compliance with company policies.
  • Support with organizing company events (team gatherings and other initiatives)
  • Coordinating office-lunch organisations for special events or internal meetings held by WarsawHub colleagues.
  • Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner
  • Ensure a good image of Warsaw Hub office and welcome visitors as well as work closely with the main reception and Warsaw Hub employees.


Qualifications
We are looking for a candidate who can bring the following to our team:

  • Proven experience as an Office Coordinator, Office Administrator, or similar role.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize tasks effectively.
  • Interest to develop in the HR area.
  • Fluent spoken and written English.


Experience in a multinational company and knowledge of office management procedures and basic accounting principles would be an asset.
