Alfred Street Baptist Church (ASBC) is a vibrant, faith-driven community committed to serving God and the people around us. ASBC is home to over 12,000 members and we are seeking a Village Program Coordinator to oversee the day-to-day operations of the facilitator aspects of the Village Small Groups Ministry. This role serves as the primary liaison to all facilitator stakeholders, manages ministry communications, and provides broad programmatic support to the Minister for Village. The ideal candidate builds strong relationships with facilitators, community partners, and congregation members while serving as a resource for all program participants and partners. The incumbent is under the day-to-day supervision of the Minister for Small Groups.

This is a Full Time, onsite position located in Alexandria, Virginia.

Schedule: Tuesday- Friday, 9am-7pm Weekend availability as needed for event support

What You’ll Do

Facilitators Coordination

  • Support facilitator onboarding, engagement, and ongoing communication needs
  • Manage roster creation and distribution at the start of each Village session; process change requests and conduct capacity checks
  • Develop and deliver Monday Morning Meditations to active facilitators
  • Assist in developing in-person and virtual facilitator training and evaluation tools

Communications & Operations

  • Execute the scheduling and delivery of all Village communications (facilitator updates, participant emails, FAP messaging, and announcements)
  • Maintain and update communication templates and distribution lists
  • Monitor the shared Village inbox, triage incoming messages, respond to routine inquiries, and escalate sensitive matters to the Village Director
  • Maintain a master calendar to ensure all seasonal launches, rosters, Zoom access emails, surveys, and registration announcements are delivered on time

Administrative & Event Support

  • Plan, execute, and oversee Village projects from inception to completion, managing timelines, resources, and budgets
  • Support the planning and execution of Village events and retreat logistics, including registration tracking, rooming coordination, and participant communication
  • Manage room reservations and coordinate internal requests (room reservations, IT, communications forms) to support ministry operations
  • Schedule and send Zoom access emails to Village Facilitators and Villagers

Facilitator Apprenticeship Program (FAP) Administration

  • Manage applications, coordinate mentor/apprentice matching, and track ongoing mentor–mentee relationships
  • Track apprentice progress toward completion requirements (lead dates, attendance, mentor feedback)
  • Send reminders and follow-ups to ensure timely completion of program milestones
  • Coordinate logistics for FAP training sessions (attendance, materials, scheduling support)

What We’re Looking For

Required:

  • Bachelor's degree in business, program management, or related field (OR a combination of education and experience will be considered)
  • 3-5 years experience in program management or volunteer coordination
  • Experience in event planning and coordination
  • Strong organizational skills with ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills; experience drafting professional ministry or organizational communications preferred
  • Proficiency with email platforms, Zoom, and standard office software
  • Proficiency in Microsoft Office Suite and database management
  • Ability to plan, organize, and manage multiple tasks and priorities effectively
  • Demonstrated ability to work collaboratively and build relationships across diverse stakeholder groups
