Summary of Responsibilities:

The Victims Services Unit Project Aide is responsible for maintaining the file system of the Victims Services Department, the initial client application intake and assisting with administrative casework duties. Maintaining a working knowledge of the Victims Services Department and eligibility requirements for prospective clients is necessary.

Essential Duties and Responsibilities:

  • Interview individuals or family members to compile information on social, educational, criminal, institutional, and drug history.
  • Provide organizational support to the director through scheduling appointments while maintaining the administrative calendar.
  • Provide information or refer individuals to public or private agencies or community services for assistance.
  • Advise clients regarding ancillary needs such as food stamps, child care, food, money management, sanitation, or housekeeping.
  • Performs other duties as assigned by Social Worker.
  • Examine and maintain a well-organized record-keeping system to provide accurate and timely staff information while upholding confidentiality requirements.
  • Maintain records and prepare reports for management concerning visits with clients.
  • Assist department staff in planning awareness activities for the community.
  • Gather information and network with other service providers in the service area on behalf of clients.
  • Organize staff travel information for training and community events.

Requirements

Education and Experience:

  • Minimum one (1) year administrative experience in social work field.
  • High School Diploma or equivalent.

Knowledge, Skills and Abilities:

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Must be able to read, understand, apply, and retain knowledge of departmental rules, regulations, and policies.
  • Respectful, knowledgeable and have an understanding of tribal cultures, customs, beliefs, values, social systems and structure of Indian families.
  • Ability to communicate clearly and effectively, in writing and verbally, with individuals and groups of diverse backgrounds.
  • Outstanding organizational abilities and must be able to prioritize tasks based on sense of urgency.
  • Must have ability to deal with crisis oriented situations and extreme human behaviors or reactions caused by crisis.
  • Proficient with Microsoft Word, Access, Publisher, Outlook, and PowerPoint.
  • Ability to actively listen and give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Naturally possess a welcoming and outgoing personality. 

Conditions of Employment:

The Iowa Tribe of Oklahoma operates a drug-free workplace.

  • Must have a valid driver’s license and be insurable by the Tribe’s provider.
  • Must submit to and pass applicable drug test.
  • Must pass background investigations for suitability of character identified in accordance with the Indian Child Protection and Family Violence Prevention Act.

Skills Required
