What will I be doing?
We are looking for a UX Operations Manager to join Kaluza’s UX team. In this Senior role, you will focus on increasing our team's operational maturity, helping us scale our impact and streamline how we deliver work across the organisation.
Your core responsibilities will include:
You will focus on three core pillars: Research Operations, Enabling Quality Design & Delivery and Tooling & Team Events
Research Operations
- Research Recruitment: Improve our frameworks for how we recruit participants for research and reduce recruitment lead times
- Insight Management: Refine how we centralise and communicate research findings, ensuring we have a searchable, compliant repository of user knowledge.
- Governance & Ethics: Be the guardian of research standards, GDPR and data compliance, data governance, and ethical research processes.
- Reporting: Contribute to UX delivery reporting, using data to track activity and impact.
Enabling Quality Design & Delivery
- Scale Product Design: Collaborate with Designers, Product Managers and Engineers to ensure the effective operationalisation and governance of our growing Design System.
- Quality: Work closely with UX Leadership on standardising Design quality control while enabling fast flow in delivery. AI Integration: Identify opportunities to integrate AI to improve our Design and Research workflows.
Tooling & Team Events
- Tooling Strategy: Manage access, procurement, vendor relationships, and renewals for our tooling stack including Figma, Dovetail and Smaply. Identify and trial new tooling and processes. Ensure new joiners have access to the right UX tools from day one.
- Budget Tracking: Monitor spend and costs across UX software, training and recruitment.
Organise Team Workshops: Plan and organise strategic workshops and events for the UX team (in-person and remote) to foster collaboration and connection.
About You
Ideally you’ll have/be:
- Proven experience in Design Operations, Research Operations, or a similar program management role. You know how to drive measurable adoption of frameworks and processes at scale.
- You can analyse a messy workflow, identify the bottlenecks, and design a solution that saves time – specifically utilising automation or AI tools where appropriate.
- Experience managing budgets, raising purchase orders, and handling vendor procurement processes using platforms such as Vendr.
- You understand the user research lifecycle. You understand what Researchers need to be compliant and effective – eg. consent forms, PII management, recruitment timelines.
- You’re an excellent facilitator who can clearly communicate operational changes.
- You are driven by curiosity, exceptionally organised, a creative problem solver, and are comfortable working in a fast-paced environment undergoing rapid growth and change.
- You will drive awareness, adoption and adherence of our frameworks, playbooks and tools across Kaluza, helping our teams work smarter as we grow.

- SaaS / B2B / Enterprise tech scale-up or start-up experience
- Experience working with globally distributed teams
- Experience in complex, regulated sectors (eg. Energy, Fintech, Gov, Healthcare)
- Familiarity with our specific tool stack: Figma, Dovetail, Jira, Confluence, Gemini
