The IT Asset & Procurement Coordinator is an entry-to-mid level position responsible for software asset management, procurement activities, and IT administrative functions. This role serves as a key liaison between Information Technology, Procurement, Accounting, vendors, and business stakeholders to help ensure efficient delivery of technology services.
The position assists with software licensing administration, coordinates hardware and software purchases, and maintains IT software asset records.

EDUCATION:
Bachelor’s degree in Information Technology, Business Administration, Supply Chain Management, Management Information Systems, or a related field preferred. In lieu of a degree, will consider equivalent technical training, certifications, military experience, internship experience, or relevant work experience.
QUALIFICATIONS AND EXPERIENCE:
Demonstrated ability to organize and maintain accurate records, analyze information, manage multiple priorities, and communicate effectively with internal and external stakeholders. Knowledge of software licensing, asset management, purchasing processes, vendor management, contract administration, or IT operations is preferred. Experience with software asset management, IT service management, procurement, or enterprise resource planning systems is a plus. The successful candidate should demonstrate strong attention to detail, sound judgment, a customer-service mindset, and a willingness to learn and grow within IT Operations.
COMPUTER SKILLS AND DIGITAL COLLABORATION EXPECTATIONS:
- Demonstrated proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, is required for effective communication, reporting, and documentation.
- Working knowledge of Microsoft Teams is required, including participation in virtual meetings, collaboration through chat and channels, document sharing, and coordination with distributed project teams.
- Ability to effectively use digital tools to support project coordination, reporting, scheduling updates, and communication across engineering, procurement, construction, and client teams.
- Willingness to adapt to evolving Company systems, software platforms, and digital workflows as project and business needs change.
- Comfortable working in a technology-enabled construction environment, including use of laptops, tablets, and mobile devices to access drawings, schedules, procedures, and project data.
TYPICAL DUTIES AND RESPONSIBILITIES:
Software Asset Management & Licensing:
- Maintain accurate software license inventories and entitlement records under the guidance of the Software Asset Management team.
- Support software audits, license reconciliations, and compliance reviews.
- Track software renewal dates, subscription terms, and maintenance agreements.
- Coordinate software deployment requests and license assignments with the appropriate technical teams.
- Review software usage and inventory data and identify records requiring follow-up.
- Maintain organized vendor, contract, licensing, and renewal documentation.
- Procurement & Vendor Coordination:
- Prepare accurate hardware and software requisitions with supporting documentation for approval.
- Maintain IT vendor information, quotes, purchase records, and related documentation.
- Support invoice verification, purchase-order matching, and receipt confirmation processes in coordination with Procurement and Accounting.
- IT Administrative Support:
- Generate and maintain reports related to IT software licensing, renewals, procurement activity, and operational metrics.
- Provide administrative support for IT projects and initiatives as assigned.
- Identify opportunities to improve documentation, data quality, workflows, and operational efficiency.
LANGUAGE SKILLS:
Ability to read, analyze and interpret general business periodicals, professional journals, and technical systems documentation.
MATHEMATICAL SKILLS:
Basic mathematical and algebraic equations required.
PHYSICAL DEMANDS:
Occasionally, will conduct or participate in a field trip to operating plants, construction sites, or other office complexes. This requires the ability to hear, stand, walk, near close and distance vision, depth perception, and the ability to focus. Lifting up to 25 lbs. required.
WORK ENVIRONMENT:
Normal work environment will be a business office with moderate noise. Occasionally, will conduct or participate in a field trip to operating plants, construction sites, or other office complexes. This may require exposure to outdoor weather conditions, loud noises, work near moving mechanical parts, electrical energy, construction equipment, vibration, fumes, chemicals, and airborne particles.
