The Tradeshow and Events Specialist will be responsible for the research, recommendation, planning and execution of Topcon’s regional tradeshows. The applicant will be solutions oriented, creative, organized, and have a passion for implementing new, exciting marketing themes in our tradeshow environment to drive new leads. 

 

Responsibilities 

  • Oversee logistics and deliverables for trade shows: included but not limited to booking booth and meeting space, registration badges, managing housing, equipment lists, tradeshow services and booth layout 

  • Execute plans for each tradeshow including onsite presence, schedules, vendor management and logistics 

  • Manage booth space contracts through internal approval processes 

  • Ensure show services are ordered and managed  

  • Utilize event software and registration process if applicable 

  • Act as primary point of contact for all communications from local tradeshow contractors 

  • Work with external vendors to ensure timely and cost-effective execution of services 

  • Support the integrated strategy for tradeshows and other events that drive sales opportunities and strengthen the company’s brand reputation 

  • Collaborate with field and product management, sales, operations, field service, and other cross-functional teams to determine show selection, equipment selection, as well as pre-and post- show marketing plans, ensure timely and accurate product shipments 

  • Travel to and support onsite execution and management of key tradeshows and events, including show set-up and take-down, as needed. 

  • Supervise temporary labor at tradeshow or event site if applicable. Provide directions to unionized labor on product placement on show floor 

  • Manage tradeshow and event follow-up and track expenses to support ROI reporting 

  • Track expenses and assist in expense reconciliation with accounting 

  • Responsible for all pre, during and post-show logistics with vendors 

  • Maintain show schedules, project management lists 

  • Leverage data to make recommendations to leadership and key stakeholders regarding future participation in recurring events. 

 

Qualifications 

  • Four-year degree; minimum 5 years of managing tradeshows and events 

  • Ability to quickly connect with others and demonstrate exceptional customer service and presentation skills. 

  • Experience managing outside agencies, performing initial contract review, and vendor negotiation. 

  • Experience developing and reporting on various analytics and metrics that determine tradeshow and event effectiveness. 

  • Ability to self-direct and work independently. 

  • Ability to present concepts and budgets at a senior level management to secure approvals and agreements 

  • Excellent communication and relationship skills required: to build partnerships internally and externally and to manage project calls with direct and indirect teams 

  • Outstanding project management skills with the ability to manage multiple priorities and programs simultaneously 

  • Able to work weekends and travel up to 40% of the time in the U.S. 

  • This role will be remote based out of New Jersey. 

Base Pay:

Expected Base Pay Range: $80,000 to $100,000 Annualized

The base pay range included is a projected hiring range for a position, level and potential work location(s) listed.  Topcon provides the compensation range that it in good faith believes it might pay and/or offer for this position. This compensation range is based on a full-time schedule.   

Bonus eligible:

 In addition to base pay, compensation for this position includes eligibility for a 5% annual bonus.

*Topcon time off policies can vary between roles which are exempt or non-exempt.  For hourly (“non-exempt”) employees, we offer personal paid time off which accrues in accordance with local standards.  For salaried (“exempt”) employees, we offer a flexible paid time off policy giving you flexibility to take time when needed, while supporting business needs.  All paid time off policies are in accordance with or exceeding local law.  Employees working at least 30 hours per week are eligible for our Health and Welfare benefit package.
