The Total Rewards and Compliance Specialist is a detail-oriented and solutions-driven role that supports and executes key people operations across benefits administration, payroll compliance, and HR regulatory requirements. This role will play a critical part in ensuring accurate, compliant, and employee-friendly HR processes while partnering with the HR Director to enhance total rewards programs, including compensation and recognition initiatives. This is a hands-on role ideal for an HR professional who thrives in both operational execution and process improvement.

Functional Responsibilities:

Benefits Administration
  • Administer employee benefits programs including medical, dental, vision, life, disability, and 401(k) 
  • Serve as the primary point of contact for employee benefits inquiries and vendor coordination 
  • Manage benefit enrollments, life event changes, terminations, and reconciliations 
  • Oversee annual open enrollment, including communication and system setup 
  • Partner with brokers and vendors to ensure effective plan administration and compliance 
Payroll Compliance & HRIS Coordination
  • Partner with payroll (internal or external) to ensure accurate and timely processing 
  • Audit payroll data for accuracy, including deductions, contributions, and benefit integrations 
  • Ensure compliance with federal, state, and local payroll regulations and tax requirements 
  • Support payroll reporting, filings, and year-end processes (e.g., W-2 audits) 
  • Maintain integrity of HRIS data and optimize workflows within systems (e.g., Paycom or similar) 
HR Compliance
  • Ensure compliance with applicable employment laws and regulations (multi-state, as applicable) 
  • Maintain and update HR policies, procedures, and documentation in alignment with legal requirements 
  • Support internal audits and reporting requirements 
  • Partner with leadership to ensure consistent and compliant HR practices across the organization 
Total Rewards & Recognition
  • Own the design, implementation, and administration of compensation and recognition programs 
  • Lead salary benchmarking, job leveling, and compensation analysis 
  • Help administer bonus programs, incentive plans, and ad hoc reward initiatives 
  • Support rollout and management of recognition platforms
Employee Support & HR Operations
  • Serve as a trusted resource for employees on benefits, payroll, and HR-related inquiries 
  • Identify opportunities to improve processes, enhance employee experience, and drive efficiency 
  • Support HR projects and initiatives as assigned by the HR Director
Qualifications
  • Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience) 
  • Canada and US Experience preferred
  • 4–7+ years of progressive HR experience with strong exposure to the following 
  • Benefits administration 
  • Payroll coordination/compliance 
  • HR compliance 
  • Working knowledge of federal and state employment laws 
  • Experience with HRIS/payroll systems (e.g., Paycom) 
  • Strong attention to detail and ability to manage multiple priorities
  • Experience in multi-state or multi-jurisdictional environments 
  • Exposure to compensation, total rewards, or recognition programs 
  • HR Certification (SHRM, PHR)
  • Strong analytical and problem-solving skills 
  • High level of discretion and confidentiality 
  • Excellent communication and employee support mindset 
  • Process-oriented with a continuous improvement approach
  • Ability to balance compliance with a positive employee experience

Skills Required

  • Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience)
  • Canada and US experience
  • 4-7+ years of progressive HR experience
  • Benefits administration experience (medical, dental, vision, life, disability, 401(k))
  • Payroll coordination and payroll compliance experience
  • HR compliance experience and working knowledge of federal and state employment laws
  • Experience with HRIS/payroll systems (e.g., Paycom)
  • Experience in multi-state or multi-jurisdictional environments

  • HR Certification (SHRM, PHR)
